THE IDEAL CANDIDATE

To help us continue our growth, we're seeking an Administrative Assistant to join our high functioning and passionate team. You'll work closely with the Finance Director and other members of the team as you perform administrative tasks to support the team and general office operations.
As an ideal candidate, you have nonprofit administrative assistant experience and a love for supporting an office and team with general administrative tasks. You are enthusiastic, detail-oriented, highly organized, solution-oriented, and flexible, with the ability to multi-task and problem-solve.
PRIMARY PURPOSE OF POSITION
Reporting to the Finance Director, the Administrative Assistant assists with the daily functions of the office and organization.
POSITION RESPONSIBILITIES
General Office Administrative Tasks
  • Performs general administrative tasks, including monitoring and ordering office supplies, checking office email and voicemail messages, and scanning documents.
  • Receives, distributes, and ships mail and packages.
  • Assists with the coordination of fundraising and volunteer events.
  • Creates documents, letters, and spreadsheets.
  • Enters data into spreadsheets and databases.
  • Utilizes and maintains electronic filing systems.
  • Serves as the point of contact for the office with external vendors.
  • Delivers and receives office supplies and technology from staff members.
  • Assists with developing standard operating procedures for the office and monitoring adherence to office guidelines.
  • Assists with the preparation of materials, travel arrangements, and scheduling for Board and team activities.
  • Distributes and oversees items related to office access.
  • Manages gratitude, celebration, and sympathy activities for staff members.
Other Responsibilities
  • Assists with calendar and schedule management and special projects as requested.
SKILLS AND EXPERIENCE
  • Minimum of 2 years of relevant experience in a related field; nonprofit office work experience a plus.
  • Commitment to excellence.

  • Positive and professional demeanor with excellent interpersonal skills,'can-do' attitude, and centering of gratitude as a value.
  • Experience using or managing office files and record keeping systems, especially utilizing cloud storage systems such as Google Drive or Dropbox.
  • Strong attention to detail and follow-through on assignments.
  • Ability to track, manage, and prioritize time effectively.
  • Ability to maintain confidential information.
  • Advanced skills in the G-Suite/Microsoft Office Suite.
  • Experience with Customer Relationship Management software (CRM) such as Salesforce or similar software is a plus.
REQUIREMENTS
  • Ability to work in the Oakland, CA headquarters 2 to 3 days per week.
  • Must own or lease their own vehicle and possess a valid driver's license with a clean driving record.

PHYSICAL DEMANDS
While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, talk, or hear. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by the job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus. COMPENSATION
Compensation: Starting base salary range of $52,000 to $62,000 annually, commensurate with experience. Outdoor Afro offers a competitive benefits package including 401k, medical, dental, life insurance, and paid time off.
