Job Responsibilities:
- Process and verify vendor invoices, ensuring proper coding, approvals, and documentation.
- Generate payment to vendors on a routine schedule and match the check with backup for review by the Accounting manager.
- Maintain accurate records of accounts payable transactions, including reconciliations and journal entries.
- Verify the accuracy of vendor invoices and confirm that the correct general ledger account codes are used.
- Inspect paid and unpaid invoices including cleared payment inquiries and check voiding to maintain accurate files and records according to company standards.
- Review automatic payments to ensure correct coding and authorization as well as sufficient contracts and documentation.
- Develop and maintain a filing system for financial information, records and documents to ensure easily available information.
- Perform regular account reconciliations to ensure accurate financial reporting.
- Respond to external vendors and internal managers regarding all aspects of the accounts payable process, including processing invoices for payment, recording sales tax, assisting with bank reconciliations, and documenting loans.
- Collaborate with vendors and internal departments to resolve payment discrepancies and inquiries.
- Research information to provide accurate and timely solutions to internal clients and vendors at multiple locations.
- Assist in the preparation of financial statements and reports related to accounts payable.
- Monitor and review expense reports and employee reimbursements for compliance with company policies.
- Maintain a strong understanding of tax regulations and compliance requirements related to accounts payable.
- Participate in the implementation and improvement of accounts payable processes.
- Bachelor’s degree in accounting, Finance, or related field. Relevant certifications are a plus.
- 1 year of experience as an Accounts Payable Specialist or similar role.
- Proficiency in accounting software and Microsoft Excel.
- Strong knowledge of accounts payable principles, practices, and best practices.
- Excellent attention to detail and accuracy in data entry.
- Effective communication skills for interactions with vendors and internal stakeholders.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Experience with QuickBooks preferred.
- Strong problem-solving skills and a proactive approach to addressing issues.
- Integrity and commitment to maintaining the highest ethical standards in financial operations.
