Investco L.L.C. is Hiring an Executive Assistant Near Seattle, WA

As Executive Assistant you will be the principal assistant and liaison for three members of the Investco Executive Team: Chief Investment Officer and two Vice Presidents. As an ideal candidate you are highly self-motivated, professional, and capable of managing your workload and prioritizing tasks in a fast-paced corporate environment. We require the ability to uphold a strict level of confidentiality and exercise discretion and independent judgement.

Schedule: Monday through Friday, 8am to 5pm in Seattle, with 1 day a week in Sumner.

RESPONSIBILITIES

  • Coordinates executive communications, including taking and screening calls, opening and sorting mail, responding to emails, and interfacing with partners and employees.
  • Coordinates complex calendar management and works collaboratively with other executive assistants across the organization. Proactively looks for ways to improve the weekly and monthly calendars for each individual.
  • Manages relevant internal deadlines and sends reminders to teams on behalf of the CIO and VPs.
  • Arranges detailed travel plans and itineraries and compiles documents for travel-related meetings - both business and personal.
  • Provides meeting support and coordination including agendas, materials, minutes (if needed) and follow up as necessary.
  • Prepares and edits correspondence, reports, presentations and other complex documents, with a high level of design and grammatical expertise.
  • Oversees all aspects of corporate event planning and management, including internal and external events. Responsibilities include managing overall event details, scouting and booking locations, budgeting, food, entertainment and contracting.
  • Liaises between various departments regarding transactional documentation that requires CIO or VP review/execution.
  • Completes monthly corporate card reconciliations and expense reports for the CIO and VPs. Assists with managing PTO requests and expense report approvals on behalf of the CIO and VPs.
  • Utilizes internal system to track birthdays, anniversaries and other critical personnel dates and assists with all forms of employee recognition on behalf of the CIO and VPs.
  • Drafts social media posts on behalf of the CIO and VPs.
  • Proactively takes on projects and other duties as assigned, to add value and create efficiencies in the day-to-day operations for the CIO and VPs.

QUALIFICATIONS

  • Bachelor’s Degree strongly preferred.
  • 5 years’ experience as an Executive Assistant reporting directly to senior management within a fast-paced and dynamic organization.
  • Demonstrated competency in Outlook, Word, Excel, PowerPoint, Adobe and InDesign, with a growth mind-set to become proficient with company-specific programs and software.
  • Takes pride in delivering outstanding service to others in every interaction.
  • Exceptional organizational skills and attention to detail.
  • Excellent writing and editing skills.
  • Design and marketing experience, for creating visually appealing formatting and presentation of information.
  • Self-directed, creative problem solver able to deliver results with minimal supervision in an unstructured environment.
  • Ability to prioritize workload, multi-task, and work under pressure in a fast-paced environment.
  • Strong interpersonal skills with proven ability to work effectively with a variety of people to negotiate solutions and collaborate in a productive way.
  • Knowledge of commercial real estate and financial terminology preferred.
  • Able to travel and stay overnight as needed (1-3 trips a year)
  • Upholds a strict level of confidentiality and exercises discretion and independent judgement with respect to matters of significance.
