Good Life Financial Group LLC is Hiring an Executive Assistant Near Orlando, FL

Position Summary:

Uses proactive problem solving, exceptional communication skills, and meticulous attention to detail to perform administrative duties. Provides support to the members of the Executive Leadership Team (ELT) for daily, weekly, and strategic functions.

Essential Roles and Responsibilities:

  • Provide support to the ELT to ensure that operational efficiencies are delivered in support of their needs.
  • Manage communications between the ELT, employees, and third parties; while liaising with internal and external stakeholders on various projects and tasks.
  • Plan, organize, and orchestrate work to ensure that the Executive team?s priorities are met, best practices are upheld, and distractions are limited.

Daily and Monthly Responsibilities:

  • Event planning and coordination of corporate events and employee engagement/experiences (events could include First Thursdays, Birthdays, All Hands, community engagement, etc. as well as experiences for remote employees).
  • Planning, logistics, and execution of ELT activities (could include: off-site meetings, advisor roadshows, conferences, etc.).
    • Planning and booking of flights, rental cars, hotels, reservations, etc.
    • Expense reports created and submitted on behalf of ELT members.
    • Support and facilitation of calendaring/scheduling for ELT members.
  • Prepare and execute communications on behalf of ELT to include email distribution and coordination of inbound emails.
  • Management of key Outlook email distribution lists and management of corporate and/or other mailboxes, including ongoing monitoring and proactive coordination of exchanges/action items.
  • Act as a liaison to Advisors and employees to represent the ELT and Good Life.
  • Coordinate and attend key meetings and proactively handle follow-up actions to support the accountability of ELT.
  • Anticipate daily and weekly needs / resources to continue the momentum and progress of ELT and organizational goals.
  • Plan, coordinate, and execute recurring tasks that enhance the advisor experience while focusing on efficiency in our delivery of value and satisfaction to our advisors (such as Advisor anniversaries, operational functions, etc.).
  • Handle the coordination of assigned vendors in support of corporate projects, department needs, and delivering superior advisor service and experiences (to include: facilitating contracts and process invoices, merchandise management for new/existing advisors, conferences/events).
  • Prepare reports, presentations, and other materials on behalf of ELT members for varying uses and audiences- including external, corporate, departmental use
  • - following necessary review processes, and operating with a compliant mindset (disclaimers, MRR, etc.).
  • Maintain progress across ELT-related and assigned tasks and responsibilities through coordination and communication with advisors, third parties, and employees.
  • Facilitate delivery of advisor and employee rewards and recognition programming, by way of gift packages, merchandise procurement and management, communication, and ELT coordination.
  • Support Corporate Communication efforts, through writing, supporting execution of email campaigns, social media posting and monitoring, communication of employee onboarding, scheduling as needed for media and/or vendor/agency engagement, managing content and activation planning calendars, and other related efforts, as assigned.
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing within the business.
  • Travel, as needed, for operational support purposes.
