Job Overview
The Director for Student Employment Programs manages the daily operations and programs of the Student Employment Office (SEO), a unit within the Office of Student Financial Services (OSFS). The Director ensures that Georgetown students can find part-time and summer employment to meet their college costs, that hourly employed students are paid accurately and on time, and that GU student employment programs are operated in full compliance with regulatory requirements and the highest standards of excellent customer service.
The Director manages the team that administers the following programs:
Hourly Student Employment: Serves 4,000 Georgetown students working in part-time and summer jobs at Georgetown, off-campus in eligible Federal Work-Study (FWS) placements, and off-campus in establishments throughout the metropolitan DC area; and initiates or approves 15,000 hourly student transactions in the HCM/Georgetown Management System (GMS) each year.
The Federal Work-Study (FWS) program: Delivers a federal subsidy to the earned wages of eligible Georgetown students with financial need.
The Job Location and Development (JLD) program: Called "The Employment Referral Service," it is a federally- funded program that helps Georgetown students find temporary, part-time and summer jobs to meet college costs.
An Employment History Verification program: Verifies the GU employment records of former hourly student workers.
Common $ense - Financial Literacy Program: Empowers Georgetown students with tools and resources to manage money through innovative workshops and educational programs, enabling them to make effective financial decisions. Students can apply this knowledge when they leave The Hilltop to confidently navigate the myriad challenges of personal finance.
The Director manages these programs, and leads a team that has the following unique responsibilities:
Communicates hourly student employment policies and procedures to employers and students by phone, email, in person, and via the SEO's website, Facebook page, and Twitter feed.
Advises Georgetown's Human Resource Contacts and Departmental Administrators on the proper use of the University's HCM/GMS to hire and pay hourly student workers accurately and on time.
While acting in the HCM/GMS roles of Human Resources Contact and Student Employment Reviewer, initiates, approves, or corrects a high volume (more than 15,000 per year) of hourly student staffing transactions - including hourly student hires, additional jobs, transfers, compensation changes, costing allocation changes, student supervisory organization changes, and terminations. Reviews hourly student employment data for accuracy, completeness, and compliance with employment laws and university policies.
Facilitates the resolution of hiring and payroll problems and employment relation issues by acting as a liaison for hourly students and their employers to appropriate university resources -e.g., HR, Payroll, University Information Services, University Counsel, and Institutional Diversity, Equity, and Affirmative Action (IDEAA).
Acts as hourly student employment Subject Matter Experts who work with the HCM/GMS core team, the HR/Payroll teams, and other system governance groups to develop, test, and deploy regular patches and upgrades in HCM/GMS software functionality for HR/Payroll processing.
Maintains program policies, procedures, and program records that are compliant with federal student aid program regulations, applicable labor laws, University policies, auditor's requirements, and the highest standards of customer service.
Work Interactions
Reporting to the OSFS Director of Technology & the SEO, who reports to an OSFS Associate Dean, who reports to the OSFS Dean, the Director for Student Employment Programs directly supervises one Associate Director and one Assistant Director within the SEO and indirectly supervises up to eight part-time assistants.
Regular internal contacts include hundreds of students and employers, departmental timekeepers, HR contacts, Departmental Administrators, supervisors, and managers, the Human Resources and Payroll offices, the Office of Sponsored Programs and the Sponsored Accounting Office, General Accounting, Campus Finance/Budget offices, the HCM/GMS core technology team in University Information Services (UIS), the Office of Institutional Diversity, Equity, and Affirmative Action (IDEAA), and the Client Services staff of the Office of Student Financial Services.
External contacts include hundreds of off-campus employers, professional student employment association members, and colleagues in student employment programs at other Universities.
Qualifications
Bachelor's degree
3 to 5 years of management experience in student employment, human resources, accounting, career services, or financial aid or an equivalent combination of education and administrative experience
Working knowledge of federal Title IV financial aid program administration and regulations, particularly the FWS and JLD programs
Preferred qualifications
Excellent communication and organization skills, and demonstrated ability to handle multiple tasks simultaneously with attention to detail
Commitment to continuous quality and customer service improvement
Work experience in a four-year private college or university
Experience administering FWS & JLD programs
Experience in financial management-auditing, account reconciliations, budgeting
Any combination of experience with Banner Student information system, Workday or other human resources, payroll, and financial systems, Word, Excel, Access, and Cognos report writing software
Experience and knowledge of other reporting analysis techniques, to include use of pivot tables to analyze data
The successful Director is a team player, a person with a sense of humor, a person that is passionate about problem solving, takes initiative, has strong management skills, takes the initiative, and uses independent judgement to accomplish stated goals.
