Eversheds Sutherland is Hiring a Human Resources Coordinator Near New York, NY

We have an exciting opportunity for a Human Resources Coordinator in the New York office at Eversheds Sutherland (US) LLP. We are searching for someone who wants to be a valued contributor and member of a talented and dynamic team of lawyers, paralegals and business professionals.
The Human Resources Coordinator partners with HR Managers and Practice Group Leaders on secretarial organization and support needs to ensure that secretarial needs are being met on a daily basis by being aware of last-minute needs in coverage due to absences, late arrivals/early departures, large projects and overflow work. The coordinator also facilitates workload amongst the Paralegals to get work completed in a timely manner.
Responsibilities and Duties:
Secretarial/Paralegal Administration
  • Assesses, coordinates and schedules secretarial/paralegal needs including coverage for absences, vacations and other support assistance.
  • Identifies and appropriately allocates available resources to facilitate workflow and overflow demands. Maintains a master secretarial staff leave calendar.
  • Meets regularly with secretarial teams to ensure the team approach is working well, modifying as needed to keep high performance and satisfaction levels in both secretaries and their assignments.
  • Develops and builds partnerships with timekeepers to create effective relationships.
  • Partners with HR Manager to recommend secretarial assignments for new attorneys and new secretaries and reassignments, as necessary.
  • Manages and updates firm pairings weekly, based on assignment changes.
  • Reviews and approves secretarial staff timesheets and leave requests.
  • Monitors and reports on secretarial billable and non-billable overtime worked.
  • Updates years of experience spreadsheet for incoming secretarial and paralegal hires.
  • Notifies HR Manager of excessive overtime, irregular work schedules, and/or consistent late arrivals and absences. Makes recommendations on possible courses of action to address identified problem areas.
  • Partners with HR Managers to conducts quarterly secretarial meetings to discuss best practices and challenges within the group.
  • Identifies training opportunities for secretarial professional development to address deficiencies and increase skill sets; partners with Training Manager to create and forecast specific training plans.
  • Assists with secretarial recruiting and onboarding.
  • Works directly with secretaries for first 90 days of hire to ensure stability and success for secretary and timekeepers.
  • With the HR Managers' lead, processes, greets and escorts employees to work stations and introduces them to assigned supervisors.
  • Outside of normal work hours, monitors emails for any issues requiring urgent input or assistance.
  • Responsive to all secretarial and paralegal workload and overflow matters through HR email distribution group.
  • Assists in planning and coordinating HR-led events (i.e., Sutherland Junior College, Fall Giving Campaign, Holiday events and Appreciation Week)
  • Performs other duties as assigned.
Knowledge, Skills and Abilities:
  • A bachelor's degree from an accredited college or university or an associate degree with related work experience is required.
  • Five or more years working in the Human Resources Department (or similar functional department) is required. 2 years of coordinator or workload management experience in a law firm, is preferred.
  • Must have excellent MS Office skills, including Word, PowerPoint and Excel. Advance skills in Excel is required.
  • Excellent interpersonal, written and verbal communication skills are required. The ideal candidate will be detail-oriented, organized, have the ability to multi-task and prioritize workloads. Must have experience with MS Office. Must be able to maintain a high degree of confidentiality, work with minimal supervision and interact with all level of personnel.
This is a hybrid role and will require on-site presence 3 days per week. Salary is commensurate with years of relevant experience & geographic location. The range for this position is $68,400 - $91,000.
