Brief Description

The Administrative Assistant supports the Project Manager and operations team in maintaining organization by handling tasks that enable them to concentrate on more complex responsibilities. This is an entry level role that involves acquiring the knowledge necessary to transition into Project Management.

Primary Responsibilities

  • Distribute incoming and outgoing mail.
  • Assist with scheduling company events/catering needs.
  • Process paperwork and distribute it to proper departments.
  • Maintain production schedules.
  • Cross reference Procore jobs to the production schedule.
  • Upload documents/photos into Trello/Planyway.
  • Handle phone calls pertaining to deliveries.
  • Assist the Project Manager with day-to-day tasks related to all phases of a project life cycle.

Qualifications

  • High school diploma or equivalent.
  • 1 year of construction administrative experience is preferred but willing to train.
  • Must be proficient in Microsoft Office & Adobe.
  • Blue Beam and Microsoft Teams experience is a plus!
  • Trello experience is a plus!

Competencies

  • Reliable and dependable in fulfilling obligations.
  • Attention to detail and accuracy.
  • Ability to utilize project spreadsheets and software to complete tasks.
  • Excellent time management skills and ability to prioritize work, multitask and switch priorities quickly and efficiently.
  • Must be able to adapt to tasks without written procedures.

Compensation

$17.00-$19.00 per hour depending on experience.

  • Work hours Monday-Thursday 6:30AM-3:00PM, Friday 6:00AM-2:30PM.

Pay: $17.00 - $19.00 per hour

Expected hours: 40 per week
