Job Description:

D.A. Davidson, an employee-owned Financial Services firm, is seeking an Executive Assistant to support our Wealth Management Divisional President. As the Executive Assistant, you will report directly to the Chief Operating Officer in the Wealth Management Division and work from our Seattle office location in the Columbia Tower. Primary responsibilities include calendar management, meeting organization, assessing priorities, and maintaining confidentiality.

Experience and Skills:

Qualifications/Requirements:
  • 5 years prior experience in supporting a senior executive or team.
  • General knowledge of the financial services industry.
  • Excellent written and verbal communication skills
  • Excellent interpersonal skills and a can-do, service-oriented approach.
  • Sound judgment, initiative, and superior organizational skills.
  • Ability to manage multiple projects and priorities in a fast-paced, dynamic environment.
  • Ability to work independently and in pressure situations with little direction.
  • Ability to multitask while executing strong attention to detail.
  • Advanced computer skills, including the Microsoft Office Suite (Outlook, Word, PowerPoint, Excel, and Teams).
Duties:
  • Perform duties of a highly confidential and time-sensitive nature.
  • Coordinate and support the Executive’s daily activities, to include calendar management, travel arrangements, and coordination of internal and external meetings.
  • Serve as liaison between the Executive, senior team members, associates, and external partners. This includes receiving and screening phone calls and visitors, answering a variety of questions, taking messages, and directing calls appropriately for resolution.
  • Draft, review, and send communications on behalf of Executive.
  • Review all incoming messages and determine priority of matters for attention; redirect or handle matters personally, as appropriate.
  • Prepare and submit expense reports and invoices for payment.
  • Maintain and organize accurate records and filing systems in compliance with industry rules and regulations; locate and retrieve records as requested.
  • Conduct research and assist in the preparation, printing, binding and delivery of various documents and presentations as assigned.
  • Manage various corporate projects, including but not limited to community involvement and special events.
  • Prepare and submit expense reports and invoices for payment.
  • Provide office support, to include basic technology assistance, managing and ordering supplies and acting as a general point of contact for issues. Distribute incoming mail and prepare outgoing mail and FedEx packages for delivery.
  • Complete a variety of special projects including creating PowerPoint presentations, spreadsheets, special reports, and agenda material.
  • Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.

The potential base pay for this role is $80,000. The compensation offered will be determined on a case-by-case basis considering a variety of factors including, but not limited to, the skills, relevant work experience, and geographic location of each specific candidate. Additional incentive compensation may be earned based on performance.
