CopperPoint has an exciting opportunity for an Executive Assistant to the CEO. The Executive Assistant provides an executive level of administrative support to the CEO; as well as to the Partners Group, as necessary. This position is the primary point of contact for internal and external constituencies on all matters pertaining to the CEO; including but not limited to handling information requests, performing clerical functions, arranging conference calls, and scheduling meetings. This person in this position will need to collaborate heavily with the rest of the Executive Assistant team to organize and coordinate complex schedules for meetings; and will also need to coordinate, book, and schedule complex travel for the CEO. The role is currently mapped as a hybrid, with 3 days in the office and 2 remote - however, days in the office may adjust to support business needs - i.e., in support of office events or Board meetings.
The Executive Assistant to the CEO is expected to perform advanced, diversified, and confidential administrative duties. The ideal candidate must possess a broad administrative, technical, and professional skillset and have a demonstrated work history in similar roles at the C Suite level. He/she will provide support to the CEO and will coordinate with all other senior-level Executive Assistants when necessary.
Job Responsibilities: - Assist the CEO with daily administrative duties and complete any and all administrative tasks including managing an active calendar (professional as well as personal in some instances); complete expense reports; prepare correspondence; arrange complex and detailed travel plans (including coordinating with other EAs for Senior level executives that may be traveling with the CEO if necessary), itineraries, and agendas and compiling documents for meetings.
- High visibility role in the C-Suite to other Executives as well as the Board of Directors. Will need to be comfortable interacting with our senior leaders and the Board.
- Communicate with the general staff on the CEO's behalf and coordinate logistics for high-level meetings both internally and externally.
- Support the CEO in his external commitments related to CopperPoint, including service on external boards, committees, and other groups.
- Communicate and coordinate the CEO's professional and personal travel - where there is overlap - (and commitments) with his spouse to minimize disruption and/or changes.
- Manage external contacts, proactively understand who they are, which are priority contacts, and keep track of periodic communications needed for priority contacts.
- Ensure critical emails are identified and handled by the CEO.
- Manage the CEO's email; including the build-out and maintenance of an archive system organized for his ease of use.
- Anticipate the CEO's needs and proactively bring together appropriate people and resources to support him in addressing issues.
- Real-time management of the CEO's daily schedule, ensuring that he knows his schedule 24 hours in advance and keeping appointments and meetings on time or changing schedules when necessary.
- Develop and maintain a system to ensure upcoming deadlines and incoming requests or events are not missed.
- Act as the CEO's representative and ambassador to external constituents as directed.
- Handle confidential information in a professional and discreet manner.
- Understand the organizational structure, strategic initiatives, policies, and procedures necessary to ensure appropriate prioritization and decision-making protocols are followed.
- Collaborate with others to ensure that executive operations meet executive, leaders, and customer needs. This position will require flexibility and the ability to multi-task and shift priorities as needed.
- Ensure assigned backup(s) are fully cross-trained to fulfill your responsibilities in your absence.
- Must have a high degree of technical aptitude to troubleshoot and resolve issues with VPN, Zoom; Outlook, Teams, Excel, PowerPoint, and DocuSign.
- Ability to troubleshoot and resolve technical issues on multiple devices, PC, laptop, desktop, phone, or iPad.
- Able to create and resolve issues with documents created in multiple formats including PDF.
- Ability to maintain composure in a dynamic, fast-paced environment.
- Highly collaborative and willing to collaborate with others.
Qualifications/Competencies: - Minimum 5-10 years or equivalent work-related experience supporting C-level Executives and experience working with Sr. Executive and Boards of Directors.
- Bachelor's degree in business administration or related field preferred but not required.
- Strong professionalism, interpersonal skills, and the ability to build and sustain relationships.
- Advanced level of administrative skills and experience in all areas of Executive level support.
- Senior level of organizational skills to successfully oversee the complexity of supporting the CEO - complex personal and professional travel and commitments; complex meeting requests; and anticipating the needs of the CEO.
- Demonstrated ability to handle confidential information appropriately and discreetly.
- Senior-level skills in time management to effectively schedule activities and ensure time-constraint compliance.
- Prior successful experience in exercising good judgment to plan and accomplish goals.
- Senior-level adaptability to work in an environment with multiple priorities and tight deadlines.
- Ability to concentrate on multiple problems/tasks at once. Comfortable with making judgment calls when necessary.
- Expert-level proofreading and editing skills.
- Proficient in the use of standard office equipment such as PBX telephone systems; personal computer and associated software (Microsoft Office - Work, PowerPoint, Excel, Project, Visio), and internet skills. Willingness and ability to learn new software and hardware as needed.
- Ability to communicate effectively with all levels of employees and outside contacts.
- Proven ability to effectively collaborate with internal teams, cross-functional teams, and external parties in a rapidly changing environment.
