ABOUT THE ROLE

The Administrative Assistant provides administrative support to the Finance & Accounting department. This role is responsible for performing administrative and clerical tasks necessary to accomplish organization and department goals.

WHAT YOU'LL DO

  • Provide daily support to team members including complex and dynamic calendar management for internal and external meetings, processing invoices, data entry, and quarterly activity scheduling.
  • Assist department leadership with meeting preparation, including capturing agenda and meeting minutes for project, team and any external party meetings.
  • Develop and process a variety of documents using applicable software, such as NDAs, mailings, forms, letters, presentations, meeting minutes, and reports.
  • Help prepare project status reports, financial updates and run signed documents through QBA for the team.
  • Manage travel logistics; international/domestic airfare, hotel, visas, booking catering and restaurants, etc. prepare complex expense reports.
  • Oversee departmental deliverables in Data rooms; track QB approvals, and support KYC process.
  • Ability to demonstrate strong customer service in all internal and external interactions.
  • Collaborate with individual department, as well as cross-functionally with other departments within the organization.
  • Maintain organizational excellence in terms of project timelines and deliverables.

MINIMUM REQUIREMENTS

  • Education: Associate’s degree or equivalent years of experience.
  • Experience: Minimum of 1 year of experience in an administrative role or related.
  • Technology: Proficiency with Microsoft Office Suite, and an ability to learn company-specific software programs, tools, processes, and machines.
  • Skills/Attributes:

    • Detail-oriented with a high degree of accuracy.
    • Effective verbal and written communication skills.
    • Exceptional organizational skills.
    • Demonstrated success in managing relationships with a variety of people.
