Join our dynamic team as a Temporary Administrative Assistant and play a vital role in supporting our Clerks Office during the 2024 Elections! The City of Coon Rapids is seeking a strong self-starter with exceptional customer service skills, if this sounds like you-- Apply Today! This position will assist the City Clerk in planning, administration, and execution of various duties connected with the 2024 Elections. Provides administrative support to the City Clerk with tasks and special projects as assigned. Duties include assisting voters, providing election information to the public, processing absentee ballots, assisting with absentee voting, answering phones and other duties associated with the administration of elections.This is a full-time (40 hours per week) temporary position with overtime hours possible during the 18 days leading up to election day in July/August and October/November. The duration of this temporary position will be up to 6 months. Anticipated start date would be early June.Previous administrative assistant and/or election judge experience preferred.**This position may lead to regular employment.The City of Coon Rapids employs a great team of people dedicated and service centered! EXAMPLE OF DUTIES
Essential duties listed below are intended only as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them if the work is similar, related or a logical assignment to the position.City Clerk support includes, but is not limited to: assisting with elections administration, assisting with licensing activities, including dog license processing and rabies clinics, document scanning and records management, and agenda preparation for public meetings, and assisting with Historical Commission liaison duties.Provides courteous assistance to the public, including screening calls and visitors, offering assistance, and routing information or referring matters to the correct department.Performs additional support type duties for the City Clerk, City Manager, City Council, Human Resources and other departments as needed. Communicates status of work to requesting parties. Edits where necessary for clarity, correctness and meaning.Responds and directs email inquiries from the City's website.Drafts routine correspondence and memoranda.Files documents, reports and correspondence for departments as needed; maintains filing systems and records.Operates office machines such as computers, printers, scanners, photocopy equipment, fax machines and other standard office equipment to perform tasks.Follows oral and written instructions such as supervisor's work orders and equipment operation manuals.Regular and reliable attendance during scheduled work hours and outside regular hours as necessary, while assuring phones are answered promptly during business hours.Provides effective and respectful communication and interactions with other employees, supervisors, individuals from other organizations, and customers.Performs essential position duties and responsibilities under the working conditions and physical demands described herein.Drives City vehicle for pick-up and delivery of meeting supplies, food, etc. as required.Performs other related functions as apparent or delegated.
SUPPLEMENTAL INFORMATION
MINIMUM QUALIFICATIONS: A combination of training and experience substantially equivalent to the following: High School graduate or equivalent. Previous administrative assistant and/or election judge experience preferred.PREFERRED QUALIFICATIONS: Minimum of three years’ experience in a responsible administrative assistant position with extensive public interaction. Minimum 50 wpm keyboarding speed.Associate’s Degree in Legal Assistant, Business Administration or closely related field. Municipal Clerk’s certificate One year experience or more with document imaging software programs such as laser fiche.PHYSICAL DEMANDS: The physical demands described herein are representative of those that must be met by an employee to successfully perform the essential duties of the job. This work requires the occasional exertion of up to 10 pounds; work regularly requires sitting, speaking or hearing, using hands to finger, handle or feel and repetitive motions and occasionally requires standing, walking, stooping, kneeling, crouching or crawling, reaching with hands and arms, pushing or pulling and lifting; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data, operating machines and observing general surroundings and activities; work has no exposure to environmental conditions; work is generally in a moderately noisy location (e.g. business office, light traffic). EQUIPMENT/JOB LOCATION: This position will be located at the City Hall. It will use common office supplies and equipment, and works closely with others. Exposure to computer monitors in the office is typical. Daily activities may be interrupted with various job related demands. Position requires in-person and phone contact with persons who may be angry and upset.
