We are a 501(c) (3) not-for-profit serving clients of various ages and backgrounds in the Dallas/Ft Worth area. We offer several different programs including CounselingWorks: Traditional and Christian Counseling in English and Spanish for children and adults, Becoming Mom services & counseling for expectant moms through 36 months, AdoptionWorks and Post Adoption services for the triad, KidWorks: counseling and group therapy for children of divorce, GriefWorks: counseling and group therapy for children and their parent(s) who have lost loved ones, JustFamily: counseling and group therapy for blended families and CampSunrise: grief camp for children that have lost a loved one. The Job Overview
We are seeking a highly organized, detail-oriented individual, with excellent communication and writing skills to perform administrative duties and support our business operations. As an admin assistant, you will be responsible for scheduling and attending meetings for member(s) of the management team while helping them manage their day-to-day tasks and streamline their operations, managing calendars, and executing travel/meeting arrangements. You will also complete research, outreach to donors and potential donors, compile and distribute reports and requested information, and handle various administrative and development team tasks.
Responsibilities:
- Perform front desk duties such as answering phone calls, responding to emails and phone calls, and managing and maintaining calendars
- Maintain and manage contacts
- Plan, organize, schedule and execute office activities and meetings
- Provide excellent customer service by addressing client, donor, board member, and staff inquiries and resolving any issues that arise
- Gather, Organize and maintain documents using tools like Microsoft Office, DocuSign and Google Drive
- Gather and organize data for statistical analysis
- Handle administrative tasks such as filing, scanning, copying, data entry, file management, and preparing reports
- Assist with development tasks using DonorPerfect or similar software
- Type correspondence, memos, and other documents as needed. Create presentations and documents
- Act as a personal assistant to assigned management staff by managing their schedules, making travel arrangements, and handling other requests
-Call and/or visit potential donors, donors, volunteers, participants, and/or potential participants as instructed by Executive Director to benefit the ministry.
- Research and organize data
- Manage a contact list
- Prepare spreadsheets and keep online records
Qualifications:
- Proven experience in a similar administrative role
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent communication skills, both written and verbal
- Proficient in using technology tools such as DocuSign, Google Drive, Google Docs, Zoom, Adobe, as well as, Microsoft Office tools such as Word, Excel, and PowerPoint
- Fast and accurate typing skills for data entry tasks
- Ability to work independently and meet deadlines
- Strong attention to detail and problem-solving abilities
- Knowledge of marketing, advertising, and public relations
- Excellent organizational skills
- Strong time management skills and the ability to multitask
- Ability to work in a fast-paced environment
