Texas Oncology is Hiring an Executive Administrative Assistant Near Dallas, TX

Overview:
The US Oncology Network is looking for a Executive Administrative Assistant to join our team at Texas Oncology ! This position will support the Finance Department at our 12221 Merit Drive #500 location in Dallas, Texas. Typical work week is Monday through Friday 8:00a - 5:00p.

The US Oncology Network is one of the nation's largest networks of community-based oncology physicians dedicated to advancing cancer care in America. Responsibilities:
The Essential Duties and Responsibilties include:
  • Manages practice governance committees through coordination with the chairs of each committee
  • Manages draft agreements related to physician employment and separation agreements
  • Provides support for special projects to include research, compiling data, and the preparation of summary reports
  • May maintain employee personnel files in accordance with policies and procedures Acts as a liaison with staff, physicians, and building management to resolve problems related to facilities maintenance
  • Performs a variety of administrative duties in support of executive management Composes, prepares, and proofreads correspondence, office memos, and reports on computer and maintains confidentiality when required
  • Receives and transmits telephone messages for others. Answers calls promptly according to departmental guidelines; records messages accurately; and demonstrates a willingness to assist others by providing information whenever possible.
  • Handles routine inquiries for information. For more complex requests, routes query to appropriate individual.
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data, and graphics.
  • Prepares documents for meetings, projects, or reports.
  • May maintain information in databases and extract routine and ad hoc reports.
  • Drafts correspondence and documents within requested timeframes. Records minutes at meetings with responsibilities for transcription and distribution to participants.
  • Coordinates appointments, meetings, travel arrangements, and other business activities in accordance with departmental guidelines.
  • Takes charge of making arrangements for major meetings for the department. Follows up on details to ensure that meetings go smoothly.
  • Maintains files and equipment. Orders office supplies for others according to procedures and budgetary guidelines. May make recommendations to management on alternative vendors or processes to be used.
  • Deals discreetly with sensitive or confidential information. Follows established procedures to ensure security of departmental records and documents.
Qualifications:
The Executive Admin Assistant will have the following experience:
  • High School diploma or equivalent.
  • Associate's degree in business administration, office administration or secretarial program required.
  • Minimum of five years secretarial experience.PHYSICAL DEMANDS:
    The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is required to be present at the employee site during regularly scheduled business hours and regularly required to sit or stand and talk or hear. Requires full range of body motion including handling and lifting patients, manual and finger dexterity, and eye-hand coordination. Requires standing and walking for extensive periods of time. Occasionally lifts and carries items weighing up to 40 lbs. Requires corrected vision and hearing to normal range.
