Cherokee Metropolitan District is Hiring an Administrative Assistant Near Colorado, CO

Job Description 
As an Administrative Assistant, you will report directly to the General Manager and support a wide range of office and leadership staff members throughout the District. You will work on diverse and innovative projects, supporting budget, legal, project, office, HR and executive level requirements related to all. Duties include, but are not limited, to:
Essential Functions
As the Administrative Assistant, you will support the General Manager, Board of Directors, Leadership Team, Customer Service, and essentially all staff.
The Administrative Assistant duties will include but are not limited to the following:
Support of General Manager, Board of Directors and Leadership Team
  • Administrative support to the General Manager and District leadership team, including preparation of memorandums, letters, policies, compliance reports and orders.
  • Support a broad range of projects, seeing them through to completion by triaging and compiling relevant documents and tasks with the related staff members. 
  • Attend leadership meetings and communicate openly and positively with staff members to support project reporting and completion.
  • Manage calendars, preparation and meeting planning. 
  • Compile, organize, maintain and preserve Board packets, Board minutes, resolutions and research and collection of data and information, including staff monthly reports.
  • Act as the Clerk to the Board, which entails being present at monthly, public Board meetings, the collection and archiving of all Board minutes and actions and posting of all public Board actions and documents.
  • Support customer outreach including, assistance in social media content creation and posting, billing inserts creation and support, increasing awareness of District objectives by creating and maintaining smooth working relationships and communications between the General Manager and Board of Directors and its customers. 
District Compliance
  • Oversee District compliance and transparency by meeting all Statutory public posting requirements and through social media networking, newsletters, notices, announcements, suggestion boxes and electronic communication. 
Customer Service Support
  • Become familiar with and support daily operations and processes of utility billing.
  • Support the Customer Billing Supervisor and team in establishing and maintaining policies, customer utility services and accounts.
  • Cross train in front desk operations, including greeting customers and answering phones. 
  • Assist in the gathering of statistical data for fiscal reporting of customer connections, usage and revenue. 
  • Assist in the implementation and conformance of current rates and associated fees, as well as any changes in the same. 
  • Review and finalize (as necessary) monthly staff reports for dissemination to General Manager and the Board of Directors. 
  • As needed, act as a liaison and arbitrator in resolving complaints, disputes and concerns from customers, businesses and citizens in the District by exercising sound, mature judgment in selecting proper courses of action and ensuring customer and record confidentiality and privacy. This is done in support of and as backup to the acting Customer Billing Supervisor and will include reporting problems and or processes to and with the General Manager. 
  • Organize and coordinate workshops, open houses and public forums specific to customers’ needs in helping educate and increase knowledge and awareness of the District’s objectives and goals.
  • Organize and coordinate online information for customers on a wide range of topics. 
  • Engage in meetings, conferences and seminars to provide advice and suggestions in identifying customer needs, current trends and services.
Office and Staff Support
  • Provide support for smooth communication between the General Manager and internal departments in helping to reduce daily work flow and routine processes. 
  • Demonstrate strong, positive leadership to maintain trust and support with senior leadership staff.
  • Cross train in HR benefits processing, workers compensation, processes for new hires and separations
  • Oversee certain daily operations of the office, including the janitorial services contract and the office supply budget and inventory, all while supporting a pleasant work environment with a diverse range of individuals. 
  • Monitor conformance of office policies and procedures, organizational effectiveness and communication and report any concerns or challenges to the General Manager. 
  • Assist in allocating office space according to departmental needs.
  • Coordinate and/or assist in the implementation of activities, parties, events for office employees and ordering of flower arrangements when necessary.
  • Ensure employee awareness of events, employee and employee family-related announcements, changes and reminders through electronic communication and notices.
Knowledge, Skills and Abilities
  • Strong attention to detail.
  • Technical writing skills, and the ability to read, interpret, and present data in a concise and coherent manner.
  • Excellent interpersonal skills & communication (written & oral). 
  • Strong leadership skills
  • Outstanding customer service skills a must.
  • Working knowledge of Microsoft Office including Word, Excel, and Outlook.
  • Conflict resolution and problem-solving techniques.
 
Education and/or Experience and Qualifications (Required)
  • Bachelor’s Degree in Business Administration or related field. A combination of education and experience may substitute for degree requirement. Supervisory experience preferred.
  • Customer billing experience and conflict resolution experience preferred.
  • Experience with Muni-Link billing system preferred.
  • Experience with Utility Cloud Computer Management and Maintenance System a plus.
  • Expert computer literacy and Office 365 system knowledge required.
  • Strong writing skills necessary.
  • Detailed planning and time-management skills.
  • Strong time management skills.
  • Project management skills. 
  • Professional judgment and knowledge of office procedures and practices.
  • Strong leadership skills, management skills and communication skills. 
  • Exceptional problem solving and conflict resolution skills.
