Job Summary:
This Administrative Assistant role will provide administrative support to the Director of Production, ensuring seamless coordination of daily activities, efficient communication, and effective management of administrative tasks within the production department.

Responsibilities:

  • Calendar Management: Maintain and organize the Director's schedule, including arranging meetings, and appointments as necessary.
  • Daily Tasks: Assist in the daily administrative tasks, which includes responding to customer needs, assigning jobs, printing & filing of production-related documents, keeping up to date schedules and reports.
  • Data Management: Manage databases and spreadsheets containing production-related information, ensuring data accuracy and confidentiality.
  • Meeting Support: Prepare meeting agendas, presentations, and materials; attend meetings when requested by the Director, take meeting minutes, and follow up on action items.
  • Project Coordination: Support the Director in coordinating production projects, including tracking project timelines, resources, and deliverables.
  • Confidentiality: Handle sensitive and confidential information with discretion and professionalism.

Qualifications:

  • Proven experience as an administrative assistant or similar role, preferably in a production or manufacturing environment.
  • Proficiency in Google Calendar, Sheets, Docs, & Drive
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and other relevant software applications.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.
  • Excellent communication and interpersonal skills, with a customer service-oriented approach.
  • Attention to detail and accuracy in data entry, documentation, and correspondence.
  • Ability to work independently with minimal supervision and collaborate effectively within a team environment.

Working Conditions:
This position primarily operates in an office environment but may require occasional interaction with production floor activities. Some lifting, bending, and prolonged periods of sitting may be required.

Note: This job profile can be adjusted based on the specific needs and requirements of the production department and the Director of Production.

Job Type: Full-time

Pay: $17.00 - $20.00 per hour
