Administrative Assistant - Accounts

Department: Office

Compensation: $18.00 - $20.00 / hour

Description

Artemis Fine Art Services has an open position for a career-orientated Administrative Assistant within the office. The essential duties of the role is to support the team with general administrative and data entry responsibilities, working with accounting data. This role would ideally suit a candidate with an interest in accounts, and logistics within the fine art industry.
The candidate must have proof of authorization to work in the U.S.

Key Responsibilities

  • Supporting the team with their day to day workload, including the using internal software Moveware to enter data
  • Ensuring the department calls are handled in a prompt and professional manner
  • Assisting your Supervisor, Managers and Director when required
  • Providing excellent customer service at all times
  • To maintain files in accordance with company protocols and procedures
  • Use all resources available to ensure the highest customer satisfaction
  • Ensure a high degree of detail and focus on every job
  • Provide administrative support in reporting accounting data and related tasks
  • Maintain an organized accounts system following procedure 
General
  • Ensure compliance with all HR policies and procedures, and all other Company policies and procedures in place
  • Adhere to all Health & Safety policies and procedures
  • To act at all times in the best interests of Cadogan Tate, its customers and its employees

Skills, Knowledge and Expertise

  • Bachelor’s degree
  • Thorough knowledge of the industry
  • Ability to work well under pressure, to cost and time constraints
  • Excellent problem-solving skills, able to use intuition to resolve any issues and complaints from the client
  • Highly organized and detail orientated, with the ability to keep multiple projects and client engagements active at once
  • Ability to thrive in a fast paced, multifaceted work environment
  • Proficient in Microsoft Office and internal computer systems – Moveware (training will be provided)
  • Excellent email etiquette and a good telephone manner that is polite and courteous at all times
  • Demonstrates good communication skills both written & spoken
  • Has excellent time management and organizational skills - Able to multi-task as required
  • Team player, able to work with all levels of staff in a dynamic environment
  • Comfortable in a results-driven workplace

  • Accounts experience
  • Ability to communicate fluently in written and spoken English
