Office Assistant: operate as the office assistant/ receptionist. duties include answering incoming calls, scheduling/rescheduling appointments, (including Canceling Appointments), handling medical records, faxing, updating medical records as needed, and other front office duties per company request. This position is responsible for carrying out the day-to-day administrative work of
the organization, as it relates to the administrative operations of the Outpatient
therapy services, wellness programs and related services. Conduct all office duties
and supports all office administrative functions pertaining to programs. (i.e.
appearance of office, supplies, scheduling, etc.).
? Serve as the point of contact while providing superior support via telephone
and email for clients, customers, and staff by ensuring satisfaction, and
communicating with and handling clients that may have questions
- Schedule appointments via telephone and fax (referrals) and data
entry via SimplePractice database
- Responsible for entering new client?s information, updates, monitors,
and manages existing clients? information into the SimplePractice
database (1.5 hours per day)
- Obtain insurance verification/eligibility from insurance company and
inform clients prior to the appointment
Prepare and submit reports to meet deadlines
? Aid with different budgeting and bookkeeping activities (i.e., complete
reports for budget, income, expense, therapists? productivity reports)
? With guidance from Directors, leads or coordinates multiple project
initiatives.
? Manage new hire Onboarding system: send documents and ensure complete
? Update information materials, presentations, including website literature,
flyers, brochures and manage social media posts and other online portals for
Be Well Therapy outpatient services, MB Therapeutic services, school-based
counseling services, and BeCALM
? Order monthly office supplies for office as needed-Once or Twice a month
- Insurance Credentialing: complete the entire process for professionals who choose to become credentialed with insurance companies as well as Employee Assistance Programs (EAP). also re-credential. This service includes updating Professional Licensure into NC tracks and keeping the information in NC tracks updated on the professional behalf.
- Insurance Authorization/Verification: verify all new client's insurance at the beginning of services; All client's insurance is verified on a monthly basis to ensure that the insurance is active for the month. verify co-pays and deductibles for private insurances as well.
