What we are looking for
SCS Engineers is looking for an Administrative Assistant to help us run the day-to-day operations of our team. You will work and assist other colleagues with their daily admin needs in a timely and collaborative manner. This position is full-time and performed on-site in Charlotte.
How you can make an impact

• Receiving and sorting vendor invoices and statements
• Assisting in checking timesheets and expense reports
• Supporting all Accounts Payable (A/P) functions for our projects; including issuing Purchase Orders and Service Orders, checking for appropriate back-up documentation, obtaining proper authorization for payment, and running reports to check balances on Purchase Orders and Service Orders

• Assisting with vendor/subcontractor setup and requesting/updating subcontractor insurance certificates and lien waiver forms
• Assisting in ordering miscellaneous office supplies, uniforms, PPE and maintaining Employee Equipment Inventory forms
• Turning-in check requests to corporate
• Assisting in the maintenance of the file storage records system
• Setting up lunch meetings, telephone conference calls and occasional errands. All other miscellaneous duties as assigned
• Processing documents, research source documents, and preparing moderately complex reports
• Assist in preparing proposals and bid statistics
• Shipping & Receiving for the office along with shipping reports
• Greet clients, vendors, salespeople, and others who come to the office
• Coordinate travel arrangements for guests and colleagues
• Coordinate materials and booths for conferences
• Assist with onboarding of new employees
• Communicating with our janitorial staff to ensure general housekeeping of office
• All other miscellaneous responsibilities as assigned

Qualifications

• AA preferred.
• Minimum of 2 years of related administrative and/or accounting experience required.
• Knowledge of word processing and spreadsheet software applications desirable.
• Valid driver's license with a driving record in good standing required.

Pay range for this position is $23 to $25/hr depending on experience. This does not include bonuses or our Employee Stock Ownership Plan.
