The Role


Please note - This position will be hybrid on-site 3 days per week at our Atlanta office.

We are seeking a highly skilled and organized Executive Assistant to provide comprehensive support to the Americas Regional President located in Atlanta, Georgia. As the Executive Assistant, you will be part of the business team and play a crucial role in ensuring the smooth and efficient operation of the Regional President’s office. This position requires exceptional organizational abilities, strong communication skills, and the ability to handle sensitive and confidential information with the utmost discretion.

  • Manage the Regional President’s calendar, schedule appointments, and coordinate meetings, ensuring efficient use of the time and resources.
  • Coordinate travel arrangements, including flights, accommodations, and transportation, ensuring smooth and hassle-free travel experiences.
  • Assist in the preparation of meeting agendas, take meeting minutes, and follow up on action items.
  • Conduct research and provide background information for meetings and presentations.
  • Manage Regional President’s email inbox, prioritize and filter messages, ensuring important communications receive immediate attention and responses are provided in a timely manner.
  • Handle incoming calls, emails, and other communications, responding promptly and professionally.
  • Act as the primary point of contact for internal and external stakeholders, including clients, senior executives, and board members.
  • Coordinate and organize in-person events for the Regional President, including arranging venues, catering, logistics, and guest accommodations.
  • Collaborate with internal teams and external vendors to ensure all event details are executed flawlessly, including event registration, audio-visual setup, and on-site support.
  • Assist with the coordination and management of virtual all hands calls and regional meetings, addressing any inquiries or technical issues.

  • Maintain a calendar of upcoming events and meetings ensuring the Regional President’s schedule is well-coordinated and optimized.
  • Support the Regional President during in-person events and virtual meetings, managing logistics, providing assistance, and ensuring a smooth flow of activities.
  • Conduct post-event evaluations and gather feedback to continuously improve future events and virtual meetings.
  • Prepare and edit correspondence, reports, and presentations on behalf of the Regional President, maintaining an efficient electronic filing system.
  • Process expense reports and invoices, ensuring accuracy, timeliness, and adherence to company policies.
  • Stay updated on company policies, procedures, and compliance requirements.
  • Collaborate with other executive assistants and team members to ensure efficient operations and seamless coordination across business groups.
  • Uphold a high level of professionalism, confidentiality, and discretion in all interactions and communications.
  • Be present in office three days per week and prepared to work additional days if there are events or special circumstances that require in person presence for smooth coordination and execution.

Skills & Experience


  • 10 years total work experience including proven experience as an Executive Assistant or similar role supporting senior executives.
  • Exceptional organizational and time management skills, with the ability to prioritize and multitask effectively.
  • Strong attention to detail and accuracy in all tasks and communications.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with the ability to produce high-quality output, including professional documents, spreadsheets, presentations, and email correspondence.
  • Tech-savvy with the ability to quickly learn and adapt to new technologies and meeting platforms.
  • Familiarity with virtual meeting technologies and proficiency in managing virtual meetings, including audio-visual set up, screen sharing, and trouble shooting technical issues.
  • Ability to handle sensitive and confidential information with the utmost discretion.
  • Strong problem-solving skills and the ability to think critically and make informed decisions.
  • Proactive and resourceful, with the ability to anticipate the Regional President’s needs and take initiative.
  • Ability to work well under pressure and meet tight deadlines.
  • Strong interpersonal skills and the ability to build and maintain trusted professional relationships with both internal and external stakeholders.
