Responsibilities

Job Summary

The Facility Operations Manager is responsible for and supervises the maintenance, care, and efficient operation of all equipment and facilities used by the organization.

Duties and Responsibilities:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

  • Ensures assigned equipment is in proper working order and available for use.
  • Maintains physical space, ensuring a safe, clean, and functional environment.
  • Receives, manages, and processes work order requests; ensures problems are resolved quickly.
  • Acts as liaison between employees and any outside contractors needed to resolve specialized problems.
  • Inspects and performs maintenance on assigned equipment.
  • Maintains files of warranties, records, licenses, inspections, service agreements, and contracts for various pieces of equipment.
  • Maintains the inventory, storage, and distribution of equipment.
  • Provides recommendations for purchases of new equipment.
  • Drafts and implements preventive maintenance schedules for buildings and equipment.
  • Ensures safety standards are followed throughout the facility.
  • Participates on emergency preparedness planning team.
  • Applies, or assists with application, for required facility permits.
  • Maintains inventory of supplies; reorders as needed.
  • Researches and estimates costs of facilities projects including costs for labor, equipment, and materials.
  • Oversees construction and design projects to ensure compliance with applicable codes, regulations, architectural standards, and contractual requirements.
  • Performs or facilitates inspections of all parts of the organization’s grounds and facilities; approves renovations, maintenance, and installations when necessary.
  • Maintains a recordkeeping system documenting facility use, maintenance schedules, and any other information required by internal policy or by local, state, and federal agencies.
  • Maintains an ongoing dialogue and working relationship with staff from other departments to ensure facilities needs and problems are quickly communicated, identified, and resolved.
  • Maintains design and construction records.
  • Maintains and issues keys or other access to various buildings and mechanical rooms.
  • Supports department’s QI (quality improvement) plans ensuring all data, reports, project updates and corrective action plans are collected and submitted to QI within established timeframes.
  • Demonstrates excellent ability to prioritize tasks and responsibilities and complete duties in the allotted time.
  • Communicate with direct reports in Spanish as needed.
  • Maintains knowledge of the programs’ emergency preparedness plan and emergency procedures
  • Monitors adherence to department policies, procedures, and practices.
  • Participates as active member of specific task committees as delegated.
  • Performs other related duties as assigned.

Qualifications

Education/Experience:

  • At least two years of related experience required.
  • High School Diploma/GED Required.
  • Bilingual in Spanish Required.
  • Specialty license (e.g. carpentry, electrician, plumbing, FSES certification) strongly preferred

Supervisory Responsibility:

  • Direct oversight of Housekeeping and Maintenance staff; escalates to department Director as appropriate.
  • Oversees the daily workflow, scheduling, and assignments of the facilities department.
  • Assists Director in conducting performance evaluations that are timely and constructive.
  • May assist Director with employment matters including discipline and termination of employees as needed and in accordance with company policy.

Physical Requirements

 Ability to sit, stand, walk and reach frequently.

  • Ability to lift and carry up to 25 lbs.
  • Prolonged periods standing and walking throughout facilities.
  • Must be able to bend, lift, stretch, climb, and crawl to maintain equipment and buildings.
  • Must be able to perform work in a variety of weather conditions.
  • Must be able to perform duties in an environment with moderate noise levels.
  • Close vision required to see computer monitor, read documents, and operate copy and fax machine.
