JOB DESCRIPTION SUMMARY
The Residential Operations Coordinator is a live-in professional responsible for the management of all facilities operations aspects of the undergraduate residence halls, graduate houses, and contracted housing locations within the scope of the Residential Services Office. The Residential Operations Coordinator also serves as the main customer service contact for all residential summer programs and associated operations. The Residential Operations Coordinator reports to the Senior Associate Director.

JOB DESCRIPTION
Residential Operations
  • Provide quality service to stakeholders; direct visitor inquiries to proper department or internal staff members if necessary.
  • Serve as primary Residential Services staff member contact for Facilities.
  • Manage and track all work orders submitted for residential areas.
  • Conduct building walk throughs weekly with Facilities partners.
  • Lead preparations and cleaning coordination for transition periods (winter break, end of academic year, and end of summer).
  • Contribute to the planning and execution of major Residential Services office processes including but not limited to:
  • Housing Selection
  • Opening/Move In
  • Closing/Move Out
  • Key Management
  • ID Office
  • Responsible for communication surrounding facilities issues and student communication for all residential facilities under Residential Services Office.
  • Coordinate and facilitate health & safety inspections, fire drills, fire extinguisher and fire alarm inspections, and lodging license renewal & inspection process for all residential facilities.
  • Administer damage billing process for all residential facilities, including setting rates with input from various stakeholders.
  • Process monthly student lock out billing charges provided by Campus Police.
  • Coordinate appliance replacement for residence halls as needed.
  • Serve as the third party vendor relations representative for Residential Services for the following programs/services and additional vendors as contracts are developed:
  • Laundry services, both internal and external
  • Storage, pickup, and delivery of student belongings
  • Rental programs such as refrigerators, microwaves, etc.
  • Student programs such as care packages, linen packages, etc.
  • Other vendors as needed
  • In coordination with the Residential Education team, provide a marketing and social media presence for the office and maintain the department website/publications as needed.
  • Manage capital/Residential Services projects as assigned.
  • Co-Coordinate deliveries and installations of furniture/fixtures/goods as needed for projects/residence halls.
  • Triage emergency work orders and student concern call-ins as needed.
Summer Programs Management
  • Serve as main customer service contact for all residential summer program leads for the following groups but not limited to:
  • Precollegiate Outreach Programs
  • REU grant funded programs
  • residential conferences
  • Maintain building/linen setup/collection for residential summer programs and conferences.
  • Administer program check ins and check outs as needed.
  • Distribute/collect Key/ID packets for residential summer program and conference attendees.
  • Recruit, hire, train, schedule, and supervise 8-10 Summer Conference Crew members.
Auxiliary Functions
  • Serve in Residential Services on call rotation with Community Director Staff.
  • Establish effective working relationship with campus office and departments including but not limited to: Facilities, Campus Police, Information Technology, Finance and Operation, Office of General Counsel, Environmental Health and Safety, Student Development and Counseling Center, and Dean of Students Office.
  • Participate in Division of Student Affairs activities. Serve on division or campus wide committees as appropriate.
  • Other duties as assigned including supporting the work of other staff members as needed.
REQUIREMENTS
  • Master's Degree in college student personnel, higher education administration or related area preferred. Bachelor's degree required.
  • A minimum of 2-3 years of residence life experience required.
  • Exceptional interpersonal and communication skills with the ability to exercise a high degree of judgment, diplomacy and discretion.
  • Possesses a willingness and ability to support a diverse and inclusive campus community.
  • Ability to work effectively in a fast-paced environment.
  • Strong candidates are those with excellent organizational, interpersonal and communication skills; good judgment; ability to interact with diverse constituencies; and can work effectively individually and as a team member.
