Ascentria Care Alliance is Hiring a Manager of Client Center Operations Near Worcester, MA

Position Summary: 

The Manager of Client Center Operations is the first point of contact for visitors and callers at Ascentria’s Worcester Client Center and is responsible for providing professional, courteous, and timely customer service to all. The Manager of Client Center Operations will set a welcoming and professional tone for the office and honor cultural, linguistic, and other differences of all guests. This position will act as the onsite point-person for triaging a range of issues including physical plant, safety and security, visitor/occupant issues and complaints. The Manager of Client Center Operations will work collaboratively with programs and business units within the office and those located off site, providing a ‘warm handoff’ to callers and guests as needed promoting a positive and welcoming experience for all visitors.

Essential Responsibilities

Reception

  • Be physically present and on time to open and close the front desk daily. Office hours are Monday - Friday, 8:30am to 5:00pm.
  • Ensure front desk coverage during all business hours.
  • Provide training and supervision of front desk support staff.
  • Greet guests in a friendly and welcoming manner; triage requests promptly. 
  • Maintain the front desk and shared spaces in good order. 
  • Receive and promptly distribute all incoming mail and packages, ensuring confidential materials are handled in accordance with established procedures. 
  • Ensure all outgoing mail and packages are collected/dropped off daily. 
  • Establish and/or maintain front desk resources as needed, including contact lists, procedures and checklists, client forms, and community resource lists. 

Office Management

  • Manage use and maintenance of shared spaces, resources, services and supplies. 
  • Manage facility contracts for goods and services.
  • Manage facility access resources.
  • Support safety and security protocols for the Client Center
  • In collaboration with Client Center leadership and managers, serve as point of contact for all Client Center office communications. 

Administrative Support:

  • Manage Client Center operations, including scheduling of Welcome Center Staff, scheduling of conference rooms, building access and security, tours, and general administrative support. 
  • Process Client Center accounts payable and receivable.

Qualifications 

  • Minimum of 6 years’ experience in a reception/administrative environment with a high volume of visitors required.
  • Associates' Degree and 4 years of experience in related field preferred.
  • Proficiency in Microsoft Office Suite and Teams required
  • Punctuality and dependability are critically important and non-negotiable. 
  • Bi-lingual fluency in Spanish is strongly preferred; experience using translation tools (e.g. Google Translate) in a professional setting is also a plus.
  • High cultural competency and the ability to deal compassionately and effectively with diverse staff, clients and partners is necessary for this role.
  • Ability to work within the mission of the agency, "We are called to strengthen communities by empowering people to respond to life's challenges".
  • Notary public is a plus.
