The Administrative Assistant for the Educator Growth and Development Department plays a vital role in
ensuring the efficient operation of various departmental functions. This position requires attention to
detail, strong organizational skills, and the ability to multitask effectively. This position will support the
advancement of educator development initiatives while ensuring the efficient operation of departmental
functions.
Essential Job Functions:
A. Assist in implementing and supporting initiatives and programs within the Educator Growth &
Development Department.
B. Support collaboration between the department and school districts, regional networks, and post -
secondary institutions.
C. Collaborate closely with the department to promote successful program outcomes and help
cultivate inclusive, high-quality educational opportunities.
D. Manage the professional development enroller system (pdEnroller), including user support,
proposal review, attendance verification, report generation, and billing processing.
E. Administer systems for parapro assessment registration, vendor purchase orders, and
communication with testing center personnel.
F. Develop and maintain electronic databases, assist in report preparation and data compilation, and
ensure accuracy in reports and records management.
G. Coordinate fingerprint appointment scheduling through online platforms and oversee the
fingerprinting process.
H. Operate electronic fingerprint scanner and data input terminal, or ink and roll table if required to
initiate the fingerprint process.
I. Collect, input and verify necessary information and print elements for submitting fingerprints for
processing.
J. Provide assistance and information to the public regarding the fingerprinting process.
K. Handle incoming telephone communications, take messages, and facilitate staff communications
as necessary.
L. Coordinate scheduling for professional learning activities and events within the department.
M. Manage logistical arrangements for workshops, meetings, and conferences, including venue
bookings, catering, and presenter coordination.
N. Maintain accurate records and filing systems to organize departmental information effectively.
O. Assist in creating contract templates and support payment processes in collaboration with fiscal
departments and partners.
P. Prepare and distribute training, meeting, or workshop materials in digital formats as needed.
Q. Sets up video conference equipment for department meetings.
R. Collaborate with supervisors to ensure optimal time management for departmental programs.
S. Attend departmental and ESD meetings as required.
T. Participate in assigned meetings, accurately record minutes, and distribute them promptly.
U. Uphold confidentiality standards as directed by supervisors.

7. Excellent interpersonal skills for effective communication and collaboration.
8. Ability to work effectively with diverse teams and individuals in various settings.
9. Capability to lift and move objects up to 45 pounds.
10. Possession of reliable transportation and flexibility for potential travel requirements.
