*This position will start between $18.03 and $20.29 per hour. This is a full-time position, 40 hours per week. Sundays, and Tuesday nights required.
Serves the School of Ministry by administratively coordinating direct ministry activities, attending planning meetings, organizing events, and providing a wide variety of administrative support to the Manager of the School of Ministry. May assist with program communication and the maintaining of program database. Serves on the front line of the Tuesday and Sunday programs and directly interfaces and supports School of Ministry program participants.
Provide administrative coordination for ministry events, classes, and training for Tuesday and Sunday School of Ministry program participants. In this role manages quarterly event planners and the implementation of case management for Tuesday and Sunday students. This entails enrollment processing of new and returning students, determining, and applying student discounts and payment charges, processing student payments, referring students for financial assistance, maintaining accurate student attendance records and the administration of midterm, final exams, and instructor evaluations. Plans meetings and events including all logistical needs for weekly and monthly activities and special events including ordering supplies, food, rental spaces, etc.
Coordinate front line ministry activities for Tuesday and Sunday School of Ministry. Coordinate the set up and tear down of the student services lobby area for the accepting of payments, selling of merchandise and food and the responding to student/leader inquiries. Recruit, train, schedule and manage volunteers in providing exceptional service in the student services lobby. Organize student and childcare check-in services. Assist in all student ministry activities and events for the program. This position requires some evening, weekend, and offsite work.
Answer email and phones, maintain calendar, maintain filing systems, coordinate material inventory and maintain department’s database. May prepare materials for programming using a variety of methods, including social media tools, Google Docs, Word, PowerPoint, Excel, and Publisher.
Partner with SOM Manager to build and enhance student program services throughout the academic year. This includes assisting the Manager in designing and developing communication materials for marketing and program services. Participates in the formatting and editing of curriculum, training products, forms, and other admission recruitment tools.
Serve as a SOM liaison to other WOLCC departments, staff, and volunteers in communicating program needs and collaborating with scheduling and logistics.
Maintain the organization of the SOM storage unit, including the purchasing, labeling, and stocking of snacks, supplies and curriculum.
As an Administrative Coordinator, coordinate a single ministry function or team of volunteers or interns. May have some assignment for making sure staff or a team of people completes assignments, does not have the responsibility of completing performance reviews. Evaluate the health and success of the ministry and deliver feedback to manager. May be responsible to monitor and oversee a ministry budget. Collaborate with other ministry teams when appropriate.
