Summary:

As our Accounts PayableP Specialist, you will use your expertise to tangibly impact a growing department. Reporting directly to our Accounts Payable Manager, your experience will make a meaningful impact. We’re looking for someone who can own the day-to-day Accounts Payable function for invoice analysis and processing, Travel & Expense entries, internal and external communications and contribute to the evolution of ZO’s Accounts Payable Department.

Essential Duties and Responsibilities:

Help promote a culture of respect, professionalism, and collaboration within the finance team and throughout the company, in particular ensuring that the department is presenting itself as a support service to the rest of the business.

• Review all invoices for appropriate documentation and approval
• Perform 3 way invoice matching to verify prices and quantities

• Code invoices to the proper G/L accounts

• Ensure that G/L accounts per Purchase Orders are correct
• Research and resolve invoice and vendor account discrepancies
• Reconcile vendor statements on the daily basis
• Work with various departments to research and resolve invoices promptly
• Assist with month-end accrual
• Assist with audits, banking requests, and year-end 1099 reporting
• Assist with employee travel expense reimbursement
• Assist with credit card transactions coding

• Manage the AP inbox and respond to vendor inquiries: invoices statements payments
• Ad-hoc Accounts Payable related tasks

Other Duties and Responsibilities:

• Other duties may be assigned to fulfill ZO’s objectives and/or job duties and requirements may be changed as needed to meet current and future business needs.

Knowledge, Skills & Abilities:

• Must have at least 2-5 years experience in full-cycle AP
• Excellent verbal and written communication skills
• Strong decision-making, analytical, and problem-solving skills
• Strong attention to detail and accuracy
• Strong sense of urgency and a high level of responsiveness
• Highly organized, able to manage multiple projects and priorities in a high volume, fast-paced environment to meet deadlines and department goals
• A collaborative team player, able to partner with internal and external contacts at all levels
• Intermediate knowledge of Microsoft Office (Word, PowerPoint, Excel) is required
• Experience with NetSuite ERP
• Experience with Concur expense reimbursement
• Experience with 1099 reporting

Work Hours: The work schedule is 5 days a week, 8 hours a day, typically from 8 AM 5 PM PST. Work hours and shifts are subject to change depending on operating business conditions and needs. The employee may be required to work overtime and on weekends. This role is hybrid, mostly remote but with the ability to come into the Irvine office for onsite events, check run, and meetings as needed.
