YHB is Hiring an Administrative Assistant Near Rockville, MD

As an Administrative Assistant at YHB, you will have the opportunity to provide top-notch service to YHB clients and meaningful support to your office as a whole.

Areas of Accountability

  • Serve as the bridge between YHB Clients and our Accountants by connecting incoming calls and inquiries with the appropriate destination.
  • Welcome and assist YHB guests that visit the office in-person – this includes, but is not limited to clients, job candidates, and vendors.
  • Ensure that the office’s Front Lobby is thoroughly and effectively opened and closed each day of business.
    • Take pride in the overall appearance and upkeep of the Front Lobby and all conference rooms.
    • Maintain the office break room or kitchenette by ensuring these spaces are fully stocked and thoroughly cleaned.
  • Utilize office technology to perform administrative and clerical responsibilities such as:
    • Crafting letters, memos, or other correspondence
    • Scanning, copying, or faxing documents.
    • Scheduling appointments
    • Ordering office supplies
    • Filing and processing client documents
  • Process daily bank deposits and occasional brokerage statements
  • Prepare and track all FedEx/UPS shipments and certified mail deliveries.
    • Ensure that all certified mail receipts are appropriately and efficiently processed.
    • Ensure that all incoming mail is appropriately distributed to office staff.
    • Complete postage recap
    • Processing Certified Mail receipts
  • Support YHB Accounting teams by:
    • Processing payroll tax returns
    • Entering billing fee data
    • Organizing and facilitating “Stress Buster” activities during busy seasons

Required Education and Experience:

  • Minimum of a High School Diploma
  • Related experience or equivalent combination of education and experience
  • Proficient in the use of MS Office applications
  • Possesses a high level of integrity and ability to respect confidentiality.
  • Excellent verbal and written communication skills
  • Ability to handle multiple tasks simultaneously.
  • Good knowledge of firm policies and procedures
  • Enthusiastic and self‐motivated
