Technical Requirements:
• Collaborate with NIAID administrative and program mangers on policy interpretation and
implementation.
• Review and interpret NIAID Office of Communications and Government Relations (OCGR)
policy guidance for recruitment marketing advertisement. Provide general guidance to
NIAID administrative and program managers on steps to facilitate request and posting of
marketing and social media advertisements. Generate and maintain supporting documents
for paid recruitment marketing and social media activities.
• Track and or maintain work files and communication on HCB HR Requests Portal,
SharePoint or EDRMS; as needed, maintain tracking and supporting documents for job
analysis activities.
• Support the daily coordination and management of the NIAID MD715 SharePoint|Teams
site.
• Provide support to other HCB Projects and tasks specifically related to NIAID or NIH
activities.
Job Analysis & PD Library
• Track JA Requests received outside of HR Requests Portal; communicate with Program as
needed.
• PD Library Coordination-finalize PD to combine PD & OF8 (as needed); add new PD to
Library; maintain lifecycle of PDs.
Recruitment Marketing | Social Media
• Build and maintain internal relationships to provide access to external resources in
promoting training and employment opportunities at NIAID; External resources include:
social media, electronic recruitment sites, journals and other advertising streams
• Review USA Jobs daily and track info to update NIAID Careers internet site.
• Track and record social media following on a monthly basis.
• Record NIAID Careers Analytics report information to Ad tracker.
• Develop and track campaign IDs and incorporate into text for recruitment advertising.
• Liaison with program contact to draft initial text for recruitment advertisement for next level
review and approval.
• Create social media messages for each position and coordinate for internal HCB review &
final approval by OCGR.
• Coordinate with OCGR for review and approval to post social media messages to Twitter,
LinkedIn, and Facebook.
• Reviewing posted ads/social media messages for accuracy.
• Maintain library listing of advertisement links for programs to consider posting.
• Maintain the free marketing resources library.
• Update and maintain the advertising tracker and EDRMS files.
Enter and track AMBIS orders for paid advertising.
• Prepare or provide assistance with preparation of routine procurement documents. Initiate
orders, obtain quotes, draft justifications, obtain clearances, etc. Review acquisition
requests for proper documentation, justifications, quotes, etc. and compliance with policies
and regulations. Research and track orders to ensure timely delivery.
• Assist in the resolution of unpaid invoices by researching missing and incomplete order.
Notate appropriate receiving information on invoice or requisition, maintain and distribute
copies to AO or purchasing agent after receipt of goods and services. Enter receiving of
goods and services into AMBIS within 7 days of stamped receiving date.
MD715 SharePoint | Teams Site
• Review and maintain work files and communications
• Post updated files as required
• Participate in regular meetings with NIH|OD|Office of Equity, Diversity, Inclusion &
Accessibility (EDIA) to ensure NIH related guidance and documents are available
Project support across HCB for NIAID and NIH specific activities
• Participate in HCB facilitated meetings tracking action items
• Gather and prepare data call responses
• Gather and prepare information for PowerPoint presentations
Additional Qualifications:
• A college degree or a high school diploma, GED, is required and 4-year related work
experience.
• Strong communication skills, both oral and written.
• Ability to transcribe and edit documents.
• Analytic, organizational and time management skills.
• Ability to work independently and in a collaborative team environment consisting of a
diverse population
