ASHA is Hiring a Continuing Education, Administrative Assistant Near Rockville, MD

A. General Description:

The purpose of this position is to provide administrative support for activities of the Continuing Education (CE) Team of the ASHA National Office, coordinating and maintaining an effective and efficient flow of work. The incumbent serves as the team’s solution finder -- actively collaborating with co-workers to identify areas where digital tools can enhance efficiency and improve service to our valued customers. The position requires broad knowledge of the CE Team’s mission as well as a solid understanding of Association operations, policy, departments and their roles and capabilities.

B. Responsibilities:

  1. Create user-friendly tools leveraging technology. Regularly review existing tools to identify areas of improvement.
  2. Manage and maintain CE’s document management and storage systems.
  3. Execute functions related to participants earning ASHA CEUs and other CE Registry services.
  4. Assist with marketing efforts, including exhibits and promotional materials. 
  5. Process requisitions and expenses. Perform accounts receivable functions with expectations for PCI compliance related to CE Providers and CE Registry users.
  6. Manage meeting logistics and the production of meeting materials.
  7. Manage the delivery of communications to regulatory agencies, CE Providers and CE Registry users. Update addresses and other contact information in association’s management system to ensure future receipt of communications. 
  8. Participate in projects aimed at continuously improving efficiencies in workflow and service to customers. 

C. Contacts:

To accomplish responsibilities listed above, the incumbent has contact with:

  1. All CE staff.
  2. Other members of the Administrative Resource Group, Professional Education cluster, Creative Media, Facilities Management, Finance, and other National Office staff 
  3. CE Providers, ASHA members who use the CE Registry, and other professionals.
  4. Representatives from suppliers, vendors, and conferences.

D. Freedom to Act:

The position reports directly to Senior Director, Continuing Education. The incumbent is expected to plan and carry out work activities in close collaboration with other CE team members. Broad latitude is given to the position to determine approaches, procedures, and methodologies for accomplishing the work. Work receives administrative and/or peer review from the Senior Director, CE and/or unit staff. Specific guidance and review may be required on special or unusual problems.

E. Qualifications – Education, Experience, Knowledge, Skills:

Knowledge and skills typically acquired through:

  • 2-4 years administrative experience, nonprofit or membership association preferred.
  • Formal or informal training in document management and storage systems (e.g. SharePoint), Microsoft 365, Adobe Creative Cloud, and similar technologies

Scope and depth of technical skills/knowledge:

  • Possess advanced skills with technology used to improve efficiency and communicate with audiences (e.g., Microsoft 365, Adobe Creative Cloud, Asana, etc.)
  • Demonstrated proficiency in records management software such as SharePoint or other electronic records management systems.
  • Demonstrated ability to successfully coordinate a project.
  • Demonstrated knowledge of general office operation procedures
  • Demonstrated knowledge of bookkeeping procedures
  • Experience with meeting and exhibit planning. 

Scope and depth of nontechnical skills/knowledge:

  • Ability to understand users’ needs, preferences, and pain points to create effective tools.
  • Ability to prioritize, organize and successfully carry out work.
  • Exceptional customer service skills and service orientation
  • Excellent written and verbal communication skills
