Ultimate LLC is Hiring an Administrative Assistant Near Irvine, CA

Job Description

Our client is seeking an Administrative Assistant to join their rapidly growing operation.

As an Administrative Assistant you will help support the office team in various clerical duties including answering phones, calendaring, planning events, filing, data entry and interacting with various departments on projects.

  • Fully, onsite - temp to hire role
  • Pay: $23-$25 an hour
  • Location: Irvine, CA (Spectrum Area)
  • Schedule: Monday - Friday - 8am to 5:00pm

Responsibilities of an Administrative Assistant:

  • Perform day-to-day administrative tasks, including answering phones, managing emails, handling mail, and maintaining office supplies
  • Assist with coordinating and scheduling appointments, meetings, and conferences
  • Input, update, and maintain records, databases, and spreadsheets accurately and efficiently
  • Establish and maintain organized filing systems, both physical and electronic
  • Greet visitors, handle inquiries, and direct them to the appropriate person or department
  • Make travel arrangements, including booking flights, hotels, and transportation for staff members or executives, coordinating itineraries, and managing travel-related logistics.
  • Assist with expense tracking, reimbursement processing, and budget monitoring
  • Coordinate and liaise with internal departments, external vendors, clients, and stakeholders
  • Address administrative issues, inquiries, and challenges promptly and effectively

Requirements of an Administrative Assistant:

  • HS Diploma or GED required
  • 1-3 years of recent administration experience in an office environment
  • Proficiency in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant applications, as well as the ability to quickly learn new software and systems.
  • Excellent written and verbal communication skills
  • Effective time management skills, with the ability to work efficiently and prioritize tasks in a fast-paced environment.
