Position Title: HR Administrative Assistant
Employment Terms: Non-Exempt / Hourly
Immediate Supervisor: Human Resources Manager

The purpose of the position is to serve by optimizing the effectiveness and efficiency of the Human Resources Team. This purpose is achieved through organization, document control, and team advancement.
Functions/Overview:
The HR Administrative Assistant takes initiative, uses influence, prioritizes, is adaptable and willingly performs a wide variety of responsibilities and projects. We are focused on friendly and respectful professional communication and collaboration with every person in the organization, our clients, and community. The HR Administrative Assistant also serves other process team members on a short term or reoccurring regular basis as directed by the HRM. The HR Administrative Assistant is trusted with confidential and sensitive files, financial data, correspondence, and conversations. Assignment is at the main office with infrequent travel to appointments.
Core/Minimum Responsibilities:
Document Control & Organization
o Maintains Human Resources office(s) for optimal productivity.
o Codes expenses and expedite payment.
o Maintains Electronic and paper filing system: set up, organize, file, retrieve, as well as archive.
o Organize and maintain computer folders according to company service model structure and email.
o Logs: create, maintain, and assure compliance.
o Prepare, organize, and track the performance review process.
Corporate Administration
o Corporate, HR and Production Team support as needed.
o Coordinate bottom floor office supplies, kitchen supplies, office equipment maintenance & repair in coordination with the Finance Administrative Assistant.
o Executive vehicle maintenance, as requested.
HR and Executive Team Support
o Calendar/appointment management and scheduling in Outlook.
o Troubleshoot & resolve problems.
o Errands.
o Conduct directed research.
Corporate Sponsored Event Coordination and Support
o Schedule meetings, corporate communications, and make arrangements

Advanced Responsibilities:
Based on the Talent, Attitude, Skills and Knowledge of the HR Administrative Assistant, the Human Resources Manager will develop a plan on areas for potential advancement.
Recommended Computer Skills:
Microsoft Excel, Word, Outlook, PowerPoint, OneDrive, Adobe Pro, BambooHR and Microsoft 365 applications.
Recommended Education/Experience:
o High school graduate
o College courses in business administration, English grammar, and composition
Physical Demands:
This office position requires the ability to lift files, open filing cabinets and bend or stand as necessary. Involves walking, effective communication, listening, using hands to operate office equipment. Vision abilities required for computer work, reading, writing, typing, data entry and the ability to adjust focus. The employee may be required to push, pull, lift and /or carry up to 20 pounds; attempt no greater weight without assistance. The noise level in the work environment is an active open office.
