Part Time Office Assistant

Argus, a 30-year-old Boston-based marketing agency, is on the search for a PT Office Assistant with strong organizational and interpersonal skills who wants to be the right hand administrator to our CEO & Managing Director. We are located in downtown Boston and this person will report onsite several days per week. At Argus, we use marking as a force for good by working with organizations that close gaps in health, wealth, climate, culture, and education.

Responsibilities/What you’ll do:

  • Oversee and support all administrative duties in the office and ensure smooth business operation
  • Support CEO and Managing Director with critical administrative duties including calendar scheduling, travel, corporate events, and external communications
  • Schedule meetings, book conference rooms, and provide administrative support during key internal meetings
  • Manage ordering & stocking of office provisions (e.g. office supplies, snacks, kitchen supplies) and proactively replenish stock as necessary to maintain inventory levels
  • Support onboarding and offboarding processes—provision computers and peripherals for new employees, provide office tours, ensure new hires have required technical setups, and serve as a key point of contact during the onboarding process
  • Productively respond to colleagues’ inquiries around office or building matters
  • Liaise with building management and the building security group on an as-needed basis, including registering guests to the office
  • Serve as the primary point of contact for all deliveries of packages, mail, etc.
  • Compile information for new business activity through COMBUYS system and manage filing of contracts (digitally and in physically)
  • Assist with office layout planning and office moves

What you need to succeed:

  • Minimum of 1 year experience in an office environment, preferably in an administrative or coordinator capacity
  • Strong time management, prioritization, and keen attention to detail
  • Excellent communication and commitment to follow-through
  • Sound problem-solving skills and a willingness to help
  • Experience with Microsoft Office and Google Office Suite
  • A results-oriented mindset
  • Good judgment and are motivated to take the initiative and own tasks, processes, or projects
  • Ability to work collaboratively with colleagues for successful project completion
