We are currently looking for a full-time Administrative Assistant for Allied Health Programs. The Administrative Assistant assists the Dean and Program Directors for the Allied Health Programs in handling a wide variety of administrative functions, ensuring the smooth and effective operation.
Responsibilities of the position include:
  • Prepares correspondence, makes copies and provides support for the Dean and Program Directors of the Allied Health Programs
  • Maintains office equipment.
  • Organizes academic administration files and records.
  • Takes and activates IDs for students, faculty and staff for Allied Health as needed.
  • Maintains office supply closet and orders office supplies as needed.
  • Provides backup support for Administrative Assistant for Nursing.
  • Prints student/ faculty schedules as needed.
  • Answers office phones, screens calls, and greets students and visitors.
  • Provides information; resolves student, employee and visitor concerns when possible; and directs students and others to more appropriate individuals when indicated.
  • Prepares uniform vouchers for students being fitted at orientation and for make-up fittings.
  • Assists with the coordination of compliance with accreditation standards, to include tracking status of programmatic accreditations and approvals, assisting in gathering and preparing supporting documentation for self-studies and accreditation reports.
  • Coordinates meetings for faculty, program directors and advisory boards and takes minutes.
  • Manages major projects for the Dean of Allied Health and Program Directors such as arrangements for accreditation visits, VIP’s and large-scale events.
  • Manages all purchase order requests and coordinates payables and documents for the College of Allied Health.
  • Proctor admissions testing as needed.
  • Aid faculty and program directors in maintenance of HIPAA documentation.
  • Assists with registration and other events as assigned.
  • Distributes mail and coordinates receipt of all shipments.
  • Performs other duties as assigned.
Requirements of the position include:
  • Minimum of an Associate Degree in related field.
  • Three years executive administrative experience.
  • An equivalent combination of education and work experience may be considered.
  • Ability to accurately type 50 wpm.
  • Ability to maintain confidential and sensitive information.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to maintain concentration and attention to detail while working for extended periods of time.
  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook and Explorer.
  • Ability to present a professional appearance and maintain composure in a stressful environment.
  • Detail oriented.
  • Must be able to sit and/or stand for extended periods of time.
  • Must be able to hear and speak well enough to communicate with students, faculty, and staff face to face and via the telephone.
