POSITION DESCRIPTION

The Accounts Payable Specialist is responsible for ensuring vendor invoices and other bills are processed timely and accurately using a variety of software and other electronic tools.

  WHAT YOU’LL DO 

  • Review vendor invoices and processes into accounting software Costpoint
  • Review and process expense reports using electronic expense systems while adhering to government regulations and applicable accounting procedures and practices
  • Partner with project leads (PL's) to ensure invoices/expenses are coded correctly prior to posting
  • Reconcile accounts payable control accounts, travel advances and other related accounts
  • Assist in monthly and annual sub ledger and general ledger closings and account reconciliations
  • Issue vendor checks with appropriate back-up documentation
  • Manage Corporate credit card reconciliation
  • Respond to vendor and internal customer inquiries and seek proper resolution
  • Reconcile subcontractor invoices
  • Assist in the preparation and distribution of 1099s and management of W-9 records
  • Be proactive in managing accounts payable cycle, able to meet deadlines; and be proficient in audit and reconciliation compliance
  • Train and/or mentor to other team members as needed
  • Perform other responsibilities as assigned

Requirements

WHAT YOU’LL BRING

  • Associate degree in accounting (or equivalent) preferred. 7 years of experience in lieu of a degree will be considered
  • Experience with COSTPOINT required
  • 5 years of government contract experience required
  • 3 years of AP experience required
  • Proficient in using Microsoft Office products, especially Excel
  • Ability to adapt to changes in responsibilities as the needs of the company change and grow
  • Must be willing to work overtime as needed to cover department responsibilities
  • Client/customer focus with a sense of urgency to deliver quality work
  • Strong relationship-building skills
  • Strong interpersonal skills and ability to influence and negotiate skillfully
  • Excellent verbal, written, and presentation communication skills within all levels of an organization

PHYSICAL AND MENTAL REQUIREMENTS

While performing duties of this job, an employee may be required to perform any, or all of the following: Attend meetings in and out of the office, travel (sometimes extensively); Occasional evening and weekend work may be required as job duties demand; Communicate effectively (both orally and in writing); Ability to effectively use computers and other electronic and standard office equipment; Occasionally exerting up to 10 pounds to lift, carry, push, pull or otherwise move objects, including the human body. Work is primarily sedentary and involves sitting for several hours at a time. Occasionally walking, climbing stairs, and standing occur in this role. Additionally, this job requires certain mental demands, including the ability to use judgment, withstand moderate amounts of stress, and maintain attention to detail.
