Essential Functions: Under the general supervision of the Associate Vice President for Alumni Relations, the incumbent provides administrative support to meet the goals of the Office of Alumni Relations. The incumbent works closely with the Alumni Association Board of Directors, alumni standing committees and campus departments. The incumbent is responsible for: tracking and reconciling financial data; processing payment requests and staff travel; maintaining alumni database, confidential records and files, and event registration lists with accurate contact information; arranging catering for meetings and events; taking and generating minutes for various meetings; drafting memos and correspondences; and ensuring the office is organized and managed effectively. The incumbent is responsible for supervising student assistants and their work schedules. The incumbent will: independently work on a wide range of items and complete projects in a timely manner; interact with all levels of the university community; and assist staff with alumni and student engagement programs and activities in the Alumni Relations Office. |
Required Qualifications & Experience: Three years of general office experience. The incumbent must have: working knowledge of budget policies and procedures; knowledge and experience with computer systems and software; and proficiency in Microsoft Office applications (Word, Excel, Powerpoint, Outlook). The incumbent must possess excellent written, verbal, organizational, and interpersonal communications skills. The incumbent must have the ability to: develop, gather and analyze information; take initiative, independently plan and perform in situations where numerous and diverse demands are involved; make independent decisions and exercise judgement; set and meet deadlines; interact with alumni, students, staff and administrators; and anticipate problems and challenges and address them proactively. The incumbent must have a demonstrated interest and/or ability in working in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who may apply for the position. Desired Qualifications: Bachelor's degree from an accredited four-year college or university. Experience with PeopleSoft Financials and Raisers Edge. |
