Job Description GENERAL DESCRIPTION The Crime Victims Services Division of the Office of the Attorney General (OAG), is seeking an Administrative Assistant to provide administrative support in the Central Records Section by maintaining filing system, data entry, reviewing and analyzing claim related information and creating and maintaining claim related files. This position also explains and disseminates information about the CVC Program and/or claims statues and assists with the daily operations of the operations support team. Flexible work arrangements, to include flexible work schedules and/or telework, may be considered relative to business need after training. ESSENTIAL POSITION FUNCTIONS
Reviews and analyzes applications and initial information for benefits with limited instruction, direction, or review from supervisor; performs data entry and verification of data files
Monitors and assists staff to perform routine administrative and mail activities, phone activities, and activities of the central records claim file system to ensure efficient turnaround times
Processes Victim Impact Statements
Maintains and processes correspondence received in the Priority Process, Presumptive Eligibility, Offense Report and CVS Mail Rightfaxes and prepares the correspondence for scanning
Processes Return to Sender mail for the Documentation section
Assists with indexing documents in Kofax to include new applications and other correspondence
Responds to verbal and written inquiries concerning claims status, bill status and general information about the program; uses the claims management system (CVMS) to retrieve and log information
Utilizes the claims management system to create, maintain and update files; generates correspondence to obtain information and performs claim-related searches
Prepares and distributes routine and special correspondence, reports, forms, and documents
Maintains files and records
Performs related work as assigned
Maintains relevant knowledge necessary to perform essential job functions
Attends work regularly in compliance with agreed-upon work schedule
Ensures security and confidentiality of sensitive and/or protected information
Complies with all agency policies and procedures, including those pertaining to ethics and integrity
Qualifications: MINIMUM QUALIFICATIONS
Education: Graduation from high school or equivalent
Experience: Two years of full-time experience working in the following (or closely related) fields: administrative support, customer service, clerical, general office experience; may substitute sixty hours from an accredited college or university
Skill in handling multiple tasks, prioritizing, and meeting deadlines
Skill in effective oral and written communication
Skill in exercising sound judgment and effective decision making
Ability to receive and respond positively to constructive feedback
Ability to work cooperatively with others in a professional office environment
Ability to provide excellent customer service
Ability to arrange for personal transportation for business-related travel
Ability to work more than 40 hours as needed and in compliance with the FLSA
Ability to lift and relocate 30 lbs.
Ability to type 35 wpm (Typing test required at time of interview)
Ability to travel (including overnight travel) up to 5%
PREFERRED QUALIFICATIONS
Experience:In document imaging and data entry
Other Language: Ability to proficiently read, write, and speak Spanish
