Job Summary:

As the Marketing Administrative Assistant, you will provide crucial support to the marketing team by handling administrative tasks and assisting in the implementation of marketing strategies. Your organizational skills, attention to detail and ability to multitask will contribute to the smooth operation of marketing initiatives and campaigns.

This is a PART-TIME, HOURLY position for 30 hours/week. We are seeking a local candidate living in the Greater Austin area. This position is hybrid, requiring at least two days per week in the office with occasional additional required in-person meetings and events.

Essential Functions and Responsibilities:

  • Provide administrative support to the marketing team, including scheduling meetings, preparing reports, and managing calendars.
  • Provide basic website support including updates to the calendar, media library and minor troubleshooting as needed.
  • Monitor, triage and respond to general marketing inquiries, questions, and ad hoc requests.
  • Help maintain and organize marketing archives, supplies and equipment.
  • Take comprehensive notes during meetings, ensuring key points and action items are captured accurately.
  • Maintain email or social media calendars and scheduling, ensuring timely delivery of marketing communications and newsletters across multiple departments.
  • Other responsibilities as assigned.

Work environment —shared desk at the office; hybrid work environment with the opportunity to work remotely up to 3 days/week.

Physical demands —the physical demands of the job, including bending, sitting, lifting and driving.

Position type and expected hours of work —Part-time position, 30 hours/week within operating hours of Monday-Friday, 9AM-5PM

Requirements:

Competency

  • Bachelor's Degree in Marketing, Business Administration, or related field (or equivalent work experience)
  • Minimum of 1-3 years of experience in an administrative role, preferably in a marketing or advertising environment
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with marketing tools such as email marketing platforms and CRM systems
  • Excellent communication skills, both written and verbal
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively
  • Attention to detail and accuracy in data entry and document preparation
  • Ability to work independently as well as part of a collaborative team
  • Flexibility to adapt to changing priorities and deadlines in a fast-paced environment
  • Enthusiasm in learning and willingness to take on new challenges in the marketing field
  • Pass all required criminal history background checks (which may, depending on the position you are hired for, include an FBI fingerprint check).
