General Administrative Support: light bookkeeping, database, research, scheduling, correspondence – position starts January 2023
Adisa Communications is an entrepreneurial Communications/Public Relations firm seeking a full-time, experienced Administrative Assistant. Supports the administrative needs of the CEO, including correspondence, calendaring, and light bookkeeping in QB. Strong organizational and interpersonal skills are required -- teamwork is a necessity. The Administrative Assistant must be able to assist the management and staff of remote workers by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, set up meetings, making reservations or travel arrangements, managing files and documents and generally being a helpful and positive presence in the workplace.

The Successful Candidate is:
Required skills:
– strong writing and knowledge of business protocols and formats
- highly proficient in online research skills
- knows how to set up Zoom, Teams, Webex, and similar platforms for meetings
- proven ability to assist with the planning by securing quotes, working with vendors, handling data entry, RSVP lists, input budget information, help with set up, staffing, and breakdown
– must be that person who happily goes behind everyone to ensure that all files are up to date using an already established system
– provides general office tasks and light accurate bookkeeping
– considerable experience using Macintosh computers, MS Office, and can adapt to a variety of software packages
The skilled Administrative Assistant:
– has excellent follow-up and completion rates for tasks assigned. Takes ownership and pride in work when given a task.
- is knowledgeable of public sector, government, and large institutions -- how they function, who leads it, how decisions are made (this is a must).

- has a cultural proficiency understanding and has successfully worked with different cultures, ages, and backgrounds to successfully deliver tasks and projects.
- brings a friendly voice and personality to make outreach calls and staff booths/tables for clients and the company.
– generates excellent business correspondence; knows formats for business letters vs. personal letters; ensures accuracy before sending.
– has the ability to quickly and comprehensively identify GSP common editing mistakes and correct them.
– possesses the knowledge of how to make updates to content in WordPress and similar platforms,
and
– demonstrates the skills to work with designers and project teams to facilitate printing and production of materials, get accurate quotes based on specs; has an understanding of how long it takes to print and produce items.
Other required traits:
– has a good sense of how long it takes to set up for meetings, special events and can provide support to project managers
– keeps track of electronic and paper receipts, works with CPA to complete invoices including expenses, hours, and reporting
– can assist with updating resumes, filling out forms to include in proposals – can tag and store imagery digitally
– can take simple footage for social media – hold a camera steady and press record
– is always looking out for the best pricing for our company and clients
Minimum requirements:
Office hours are generally M-F, 9 a.m. - 5:30 p.m. with occasional after-hours events, and weekends to support CEO activities
