Job Description
GENERAL DESCRIPTION
Performs entry-level administrative support or technical assistance work for the Criminal Appeals Division of the Office of the Attorney General. Work involves disseminating information, maintaining filing systems, both in electronic format as well as hard copy, and performing internal administrative support work.Works under close supervision, with minimal latitude for the use of initiative and independent judgement.

ESSENTIAL POSITION FUNCTIONS
  • Processes record requests from federal and state courts; creates electronic and hard copies for attorneys. Prepares records to be filed and or shared with opposing counsel.
  • Processes all mail for case files, and researches and disseminates mail either to staff or the case holder
  • Closes case files as attorneys complete a case
  • Maintains and closes suspense files and serves as division receptionist as needed.
  • Performs related work as assigned
  • Maintains relevant knowledge necessary to perform essential job functions
  • Attends work regularly in compliance with agreed-upon work schedule
  • Ensures security and confidentiality of sensitive and/or protected information
  • Complies with all agency policies and procedures, including those pertaining to ethics and integrity
Qualifications:
MINIMUM QUALIFICATIONS
Administrative Assistant I:
  • Education: Graduation from high school or equivalent
  • Experience: One year of full-time experience working in the following (or closely related) fields: clerical or administrative support work; may substitute thirty credit hours from an accredited college or university for the required experience
  • Knowledge of Microsoft Suite; Outlook, Excel, PowerPoint as well as Adobe Acrobat Pro
  • Skill in handling multiple tasks, prioritizing, and meeting deadlines
  • Skill in effective oral and written communication
  • Skill in exercising sound judgment and effective decision making
  • Ability to receive and respond positively to constructive feedback
  • Ability to work cooperatively with others in a professional office environment
  • Ability to provide excellent customer service
  • Ability to work in person at assigned OAG work location, perform all assigned tasks at designated OAG workspace within OAG work location, and perform in-person work with coworkers (e.g., collaborating, training, mentoring) for the entirety of every work week (unless on approved leave)
  • Ability to arrange for personal transportation for business-related travel
  • Ability to work more than 40 hours as needed and in compliance with the FLSA
  • Ability to lift and relocate 30 lbs.
  • Ability to travel (including overnight travel) up to 5%
Administrative Assistant II: All of the above qualifications for an Administrative Assistant I, PLUS:
  • Experience: One additional year of full-time experience working in the following (or closely related) fields: clerical or administrative support work; may substitute sixty credit hours from an accredited college or university for the required experience
PREFERRED QUALIFICATIONS
  • Education: Bachelor's degree from an accredited college or university; experience in the following (or closely related) fields may be substituted for the required education on a year-for-year basis:
  • Experience: Three years of full-time experience working in the following (or closely related) fields: clerical or administrative support work.
  • Knowledge of office practices and administrative procedures, PACER
  • Proficient with Microsoft Word Suite; specifically, Word, Outlook and Excel; Adobe Acrobat Pro
  • Abilities: To be prompt and complete tasks with hard deadlines.
