Summary of Responsibilities:
The TBS Executive Assistant Is to assist all TBS personnel with administrative tasks in regards to tax related items, including processing and assembling of all tax returns. The TBS Executive Assistant supports the Firm’s goals and values through all professional communication and maintenance of positive working relationships.
Essential Functions:
1. Processes and Assembles Tax Returns.
2. Add, maintains and revise projects, engagements in the Firm’s time and billing system.
3. Generate Tax Return status reports and distributes to Partners, Directors, and Managers as requested.
4. Composes and types routine correspondence.
5. Organizes and maintains online Document Management system, and files correspondence and other records as necessary.
6. Scans documents into our software.
7. Generates other project tracking reports for Partners, Directors, and/or Managers.
8. Generates additional needed reports as requested by Partners, Directors, and/or Managers for TBS related items.
9. Coordinates, schedules and makes appointments as needed and requested.
10. Greets scheduled visitors and conducts to appropriate area or person.
11. Makes copies of correspondence or other printed materials as requested.
12. Routes incoming and outgoing mail from office(s).
13. Prepares TBS outgoing mail and correspondence, including e-mail and faxes.
14. Prepares letters for extensions to IRS.
Other Functions:
1. Composes and types routine correspondence.
2. Organizes and maintains file system, and files correspondence and other records.
3. Makes copies of correspondence or other printed materials.
4. Assists TBS Partners/Directors/Managers as needed for correspondence, telephone calls, and meeting arrangement and preparation.
5. Provides back up support for Executive Assistant (covering front and answering phones) as needed.
6. Prepares outgoing mail or UPS (TBS).
7. May be asked from time to time to run errands using personal vehicle.
8. Develops personal priority goals and adheres to the goals.
9. Participates in community involvement as requested and needed.
10. Supports departmental goals, policies and guidelines.
11. Assumes responsibilities as a “champion” in specific departmental software applications including but not limited to Practice CS and Ultra Tax.
12. Sets up and participates in departmental events (inside/ outside) office as requested.
13. Participates in other administrative activities or other duties as requested by the Partners, Directors and/or Managers.
14. Accounting firm background is a plus.
15. Ability to multi-task and be highly organized.
16. Very efficient in Microsoft Suite.
