The Department of Economic Security, Division of Developmental Disabilities (DDD), is seeking an experienced and highly motivated individual to join our team as an Administrative Secretary 1 to provide clerical and administrative support services to management, team members, and staff within the DDD.
Applicants for this position cannot be licensed or certified by the DDD Office of Licensing Certification and Regulation, cannot have a principal interest in or have spouse or close family with principal interest in a DDD Qualified Vendor Agreement, and cannot be employed or subcontracted by a DDD Qualified Vendor.

Job Duties:

Essential Duties and Responsibilities include but are not limited to:

  • Point of contact for greeting customers, directing visitors, handling parking tickets for the parking garage, logging gas receipts for state vehicles, and setting up Admin Conference Room.
  • Answer phone calls and the email inbox to provide necessary information to the public regarding the mandate of DDD; screen calls and route to the appropriate office/staff/department; take messages and ensure information is given in a timely manner.
  • Sort and distribute incoming and outgoing mail. Utilize postage meter for outgoing mail and deliver to USPS mailbox to be picked up. Make copies for DDD staff. Maintain copy machines and shred bins are in good working condition and call for service when needed; maintain inventory of supplies for the office and for copy, printer, fax machines.
  • Provide clerical support by maintaining and submitting a variety of reports on a quarterly, monthly, and weekly basis; utilize computer to format, edit, proofread, and type letters, memos, reports and miscellaneous correspondence using proper format; maintain confidentiality with reports and correspondences, as directed by the supervisor.
Knowledge, Skills & Abilities (KSAs):

Knowledge of:

  • Knowledge of principles and practices of the general office and time management
  • Knowledge of appropriate use of grammar, punctuation, and formatting various documents
  • Knowledge of telephone operation and etiquette

Skill in:

  • Skills in oral and written communication
  • Skills in strong customer service
  • Skills in interpersonal relation skills as it relates to contact in-person, over the phone, and by e-mail

Ability to:

  • Ability to deal with the public with tactfulness and accuracy
  • Ability to work with minimal supervision
  • Ability to handle multitasks, organize, prioritize, problem solve, and complete work within required timelines
Selective Preference(s):
  • Preferred candidate to have secretarial experience.

  • This position requires driving or the use of a vehicle as an essential function of the job to conduct State business, then the following requirements apply: Driver’s License Requirements.

Retirement:

State employees are required to participate in the Arizona State Retirement System (ASRS), the State sponsored retirement contribution plan and the Long-Term Disability (LTD) program after a 27-week waiting period. The ASRS defined benefit plan provides for life-long income upon retirement. You will also have the option to participate in a voluntary deferred compensation program to take advantage of tax-deferred retirement investments.
