    Primary Purpose:

    Organize and manage the routine work activities of the Human Resources Department Office and provide clerical services to the Human Resources Department and other staff members. Also, process and report the district’s human resources/payroll activities.

    Qualifications:

    Education/Certification:
    • High School Diploma or G.E.D.
    • Three years of secretarial experience, preferably in a public education environment with primary exposure in employee/position compensation, payroll or related area for a large organization
    • Formal training in the area of payroll preparation and payroll requirements a plus.
    Special Knowledge/Skills:
    • Strong knowledge of federal, state, and local laws pertaining to payroll/compensation processing and issues
    • Strong knowledge of payroll and recordkeeping procedures
    • Skill in computer applications (required) such as Windows, word processing (Word), spreadsheet (Excel) database Access) and payroll mainframe experience
    • Ability to analyze, generate, and troubleshoot transaction processing issues
    • Ability to meet deadlines and handle volume in a fast-paced working environment
    • Communicate effectively with employees of the District and with other individuals in a service-oriented manner
    Experience:
    • Two years accounting or bookkeeping experience, preferred

    Major Responsibilities and Duties:
    Secretarial

    • Prepare correspondence, forms, manuals, schedules, contracts, and reports for the director of human resources and other department staff members using personal computer.
    • Distribute applicant records to principals and directors.
    • Prepare recruitment and new-hire packets.
    • Assist with the input and maintenance of information in employee database.
    • Prepare and distribute employment contracts.
    • Process and receive criminal history criminal history record information, references, and other application materials.
    • Compile pertinent data as needed when preparing various federal, state, and local reports, including EEOC and Texas Employer New Hire Report.
    • Maintain physical and computerized departmental files.
    Accounting
    • Perform routine bookkeeping tasks, including simple arithmetic operations for the department.
    • Assist with the preparation of the human resource department budget
    • Monitor and process employee time records, including leave requests and reports
    Other
    • Answer and respond to incoming calls, take reliable messages, and route to appropriate staff.
    • Greet visitors and assist employees and applicants with completing applications and required paperwork.
    • Maintain a schedule of appointments assist with scheduling and set- up of interviews and meetings.
    • Make travel arrangements for department.
    • Receive, sort, and distribute mail and other documents to department staff.
    • Maintain confidentiality of information.
    P.M.I.S. Performance Responsibilities/ Essential Functions:
    • Participate as part of a team in the processing and reporting of the District’s human resources/payroll activities by performing necessary technical and clerical tasks.
    • Processes all transaction changes (hires, assignment changes, departures, and data changes) related to classified (non-exempt) employment situations.
    • Calculate and process monthly base pay and salary adjustments affecting classified employees.
    • Work closely with campus officials, department heads, and SSAISD employees in answering questions, explaining payout situations.
    • Prepare related reports that may be required by various departments within the district and by outside agencies.
    • Assist with pulling existing records, inserting newly received documents and filing supporting documentation.
    • Perform other duties as assigned.

    Supervisory Responsibilities:

    • None.

    • Personal computer, printer, calculator, copier, and fax machine.

    • Repetitive hand motions; prolonged use of computer.
    • Physical Tasks: frequent standing, walking, climbing, bending , crouching, pushing, pulling, carrying, lifting-lowering 1-30lbs.

    • Sensory ability needs-hearing, near vision, far vision, peripheral vision, individual color distinction, depth perception
