Responsibilities: The Administrative Assistant Thrift Operations will be responsible for administratively supporting three thrift stores and processing warehouses. This position requires travel between Snowline's thrift stores, the Diamond Springs office, and Thrift Operations. Duties include:

  • Provide direct administrative support related to the business of Snowline Thrift stores and warehouse's day-to-day operations.
  • Assist with developing systems/worksheets to track financial production and staffing information readily.
  • Train thrift store and warehouse personnel in standardized procedural processes, record keeping, file maintenance and data gathering as directed.
  • Perform file maintenance data entry and assist with daily store deposits as needed.
  • Coordinate standardized volunteer tracking and assist with preparing volunteer organization documents and events; work with the Snowline Volunteer Manager when needed.
  • Maintain a record of active volunteers and provide information to the volunteer manager as requested.
  • Support Human Resources with open thrift positions, new hire paperwork, orientation, and current employee status changes.
  • Scribe meeting between Director and team members as requested.
  • Facility maintenance and safety issue follow-up as needed, including insurance claims.
  • Track employee and volunteer birthdates and service anniversary dates; prepare service and birthday recognition acknowledgments.
  • Assist with preparing meeting documentation/agenda, setting up the meeting room, scribing meeting minutes, and distributing as directed when required.
  • Follow safe work practices, including (but not limited to) using correct lifting techniques and keeping the work area clean and free from hazards.
  • Answer/return phone calls and email correspondence professionally and promptly while following applicable protocols.
  • Communicate with customers in a professional, friendly, and courteous manner.
  • Strive to build positive relationships with employees, volunteers, and community members.
  • Demonstrate positive behavioral characteristics such as initiative, cooperation, adaptability, dependability, and flexibility. 
  • Understand Snowline Hospice's mission and answer questions about Hospice, Palliative care, Dementia program, and Thrift services the organization offers knowledgeably.
  • Assist with the design of thrift store and donation advertising, including special event signage and posters, announcements, and newspaper advertisements as needed.
  • Prepare or gather stories and photos for the Marketing Department's bi-monthly Snowline Hospice newsletter.
  • Support Marketing initiatives. 

Requirements

  • High School Diploma or GED
  • Four years of administrative support experience is preferred
  • Demonstrated ability to work independently
  • Able to perform detailed work in a timely, confidential manner with accuracy and thoroughness
  • Four years of computer experience using Microsoft Word, Excel, and Teams are required. Access, QuickBooks, and Canva experience preferred
  • Excellent written and verbal communication and organizational skills
  • Proven ability to think logically, analyze issues, and use good judgment to carry out responsibilities
  • Strong math aptitude and accounting experience a plus
  • Valid CA driver's license, reliable automobile, and state-required auto insurance
