Responsibilities Include:
· Communicate with clients, vendors, venues, suppliers and planners as needed via phone & email, complementing Exec Team’s efforts to ensure client satisfaction and uphold the company brand
· Communicate regularly with Exec Team to prep for all events in advance & problem solve any last minute event-related issues that arise
· Send clients email reminders as needed, secure all media (photobooth logos, montages) from clients ahead of events, email digital photos to client within a week after their event date, email clients Google review links, follow up with clients after events
· Prepare digital quotes as needed
· Email clients, planners, vendor partners, and staff to schedule appointments on the calendar for the exec team
· Maintain organization of filing records including but not limited to staff paperwork, client and vendor contracts, documents, invoices, purchase orders, receipts, bills, etc
· Maintain strict confidentiality regarding company financials, client & staff information, & intellectual property
· Answer general inquiries and direct phone calls as needed to the appropriate staff member
· Maintain neat office appearance and order/pick up office supplies as needed
· Keep internal digital inventory system up to date, work with Warehouse Manager(s) to update packages as needed
· Assist with packing, unpacking, organizing, & cleaning décor for client events
Requirements:
– Ideal candidate possesses at least 2 years' administrative experience.
– Ideal candidate possesses an Associate's/Bachelor's degree.
– Ideal candidate is a team player, a people person, and has the ability to get along with different personalities.
– Self starter who takes initiative.
– Organized, flexible, detail-oriented, and able to work quickly, manage time well, prioritize tasks, and meet deadlines.
– Strong written & verbal communication skills including proper spelling, grammar, and knowledge of professional business communication.
– Proficient in Microsoft Office suite. Photoshop & Quickbooks skills a plus.
– Experience in Google Analytics & paid social media ads a plus.
