Description

OVERALL JOB PURPOSE

The Administrative Assistant provides a variety of administrative support and assistance to the Senior Leadership Team and committees as directed. The position requires diplomacy and confidentiality throughout all assignments.

 DUTIES AND RESPONSIBILITIES

  • Performs updates to CRITICAL credit union documents, ensuring that files are updated accurately and changes are distributed to appropriate staff.
  • Provides administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on behalf of the Senior Leadership Team.
  • Organizes meetings, including scheduling, creating agendas, and organizing catering when necessary.
  • Take minutes during meetings.
  • Manages executive staff calendars, including making appointments and prioritizing the most sensitive matters.
  • Maintains corporate records, files, and policy and procedure manuals, ensuring that all are current and accurate.
  • Assists in the handling of confidential and sensitive material with strong attention to detail.
  • Arranges travel and logistics, such as booking flights, hotel accommodates, conference registrations, etc.
  • In the absence of the Executive Administrator/Board Liaison, provide backup and support as necessary. This may include preparing materials for Board of Directors Meetings, ALCO Rate Reports, Supervisory Committee Meetings, and Board ALCO Meetings as directed. Responsibilities include completing agendas, taking and compiling minutes, assembling reports and related information, and disseminating packages timely and accurate.
  • Performs specialized and confidential administrative duties, including researching data and preparing reports on various functional areas.
  • Arranges for payment of invoices as necessary; completes expense reports timely and accurately.
  • Maintains physical and electronic indirect dealer files.
  • Manages inventory of office supplies, and organizes common areas.
  • Greets and assists employees, guests, and vendors entering the executive office in a professional and friendly manner.
  • Meets deadlines as assigned and directed.
  • Maintains a positive and caring atmosphere for members and employees consistent with the Credit Union’s mission and philosophy.
  • Maintains the security and confidentiality of pertinent information and records.
  • Understands and agrees to abide by the policies and procedures established by Sandia Area Federal Credit Union and federal and state legal and regulatory guidelines, including the Bank Secrecy Act (BSA) and the Office of Foreign Assets Control (OFAC), as applicable to this position.
  • Performs additional duties as assigned or directed.

Qualifications


KNOWLEDGE, SKILLS, AND ABILITIES

  • Requires excellent interpersonal communication skills, including professional phone skills.
  • Excellent oral and written communication skills, including technical writing ability.
  • Proficient computer literacy to include all Adobe and Microsoft-based programs: Word, Excel, PowerPoint, and Outlook.
  • Initiative to produce professional, accurate, and timely reports, letters, etc.
  • High level of attention to detail and problem-solving skills.
  • Strong organizational skills with the ability to adjust priorities to meet deadlines.
  • Must be able to lift to 10 lbs.

EDUCATION AND EXPERIENCE REQUIREMENTS

  • Applicable technical courses with 1-3 years of experience as an office assistant, or 3-5 years of administrative assistant experience.
  • Experience in credit union operations preferred.
