Job Summary:The Accounts Payable Specialist is responsible for managing the day-to-day financial transactions related to the payment of invoices and ensuring accurate and timely processing. This role involves utilizing computer software and Excel to streamline processes, perform cost coding, conduct reconciliations, handle billing, and make adjustments to invoices as needed.Key Responsibilities:Invoice Processing:Receive and review incoming invoices for accuracy and completeness.Utilize computer software to enter invoice details into the accounts payable system.Ensure adherence to company policies and procedures during the invoice approval process.Cost Coding:Assign appropriate cost codes to invoices based on project or departmental allocations.Collaborate with relevant departments to accurately allocate costs and maintain cost tracking records.Reconciliations:Conduct regular reconciliations of accounts payable transactions to ensure accuracy.Investigate and resolve discrepancies in a timely manner, collaborating with vendors and internal teams as necessary.Vendor Management:Communicate with vendors to address inquiries, resolve issues, and negotiate payment terms.Maintain positive relationships with vendors to ensure smooth processing of invoices and timely payments.Billing:Generate and distribute accurate and timely billing statements to clients or internal departments.Verify billing details and address any discrepancies or issues with relevant stakeholders.Adjusting Invoices:Review and analyze invoices for potential errors or discrepancies.Collaborate with internal teams to make adjustments to invoices as needed, ensuring accurate financial reporting.Data Entry and Record Keeping:Enter financial data into the computerized accounting system with a high level of accuracy.Maintain organized and up-to-date records of all accounts payable transactions.Month-End Close:Assist in the month-end close process by providing necessary documentation and reports.Prepare and analyze accounts payable reports to contribute to financial reporting accuracy.
