Red Carrot is Hiring an Executive Assistant Near Atlanta, GA

Red Carrot is seeking an Executive Assistant to join a team supporting a government agency by providing excellent organizational and administrative skills, an understanding of calendar management and scheduling, and good written and oral communication skills. This position is in the office once weekly and teleworks four days a week. RESPONSIBILITIES: 
  • Provide general office administration, including copying and scanning documents, answering/triaging phone calls, responding to routine inquiries for internal and external customers, and monitoring external/internal communications and electronic correspondence of the Polio Containment mailbox, ensuring they are addressed in an efficient manner. 
  • Manage Outlook calendar and schedule of the Director and other designated managers and provide a daily list of scheduled activities. 
  • Track recruitment and personnel actions utilizing the client’s People Processing systems for interns, fellows, and guest researchers. 
  • Assist in posting job descriptions on external websites external to the client’s (ex. - REAL Emory job website and ORISE job website) and any other job sources, pull and consolidate resumes received and share with relevant staff.
  • Collect scores from interview panel and store files on share drive or teams folder. 
  • Assist with facility follow-up by calling survey participants to confirm their specific survey responses and facility representatives’ contact information.
  • Provide time and attendance clerk services, utilizing TASnet (Employee web-based time and attendance system), and maintain time and attendance records for civil service and fellows. 
  • Support the planning and execution of organizational events, including award ceremonies, by preparing high-level meeting and conference materials and workshop notebook/materials, and by coordinating briefing schedules. 
  • Schedule and arrange logistics for meetings with staff for the client using conference rooms, bridge lines, and webinars. Manage bridge lines and webinars during meetings. Compile agenda items from meeting attendees. Compile briefing documents, correspondence, presentations, and other materials for meetings, to include the Federal Advisory Committee workgroup. 
  • Provide travel preparation services to include making travel reservations and preparing travel requests for domestic and international travel using the Concur Travel System. All requests shall be processed in accordance with the Federal Joint Travel Regulations. 
  • Provide project tracking and reporting services for the Director. 
  • Coordinate the dissemination of training information and maintain training records and reports for the team. 
  • Support purchase-card holders by tracking credit card purchases, managing supply inventory, and helping to prepare and file purchase card request documentation. 
  • Request data from Division offices, and compile and prepare weekly and monthly recurring and special project reports for the Director. 
  • Facilitate routing and approval of documents that require Director. 
  • Maintain an automated system of program-specific data to track suspense on items including trip reports, progress reports, and travel accomplishments. 
  • Coordinate necessary security clearance process requests for visitors to the client and serve as an escort for visitors, excepting situations requiring a Government Employee escort. Visitors may include dignitaries, and high-level ranking officials. 
  • Save and store HR files onto the share drive or teams folder. 
  • Coordinate monthly updates including minor editing, routing to staff members, send to final version to Director for approval and then distribute to leadership 
  • Develop monthly report. 
QUALIFICATIONS:
Must Haves:
  • Bachelor’s degree or 4 years of experience or Associate's degree and 2 years of experience.
  • Expertise in Administrative Support.
  • Experience in Scheduling Meetings and Travel.
  • Interpersonal skills. 
  • Knowledgeable in MS Office Tools and Adobe.
  • An evident attitude toward customer service.
