Job Description

Customs and Border Protection (CBP) is seeking one (1) executive assistant to support the Integrated Services, Shared Services and Acquisition Program Management Branch in Washington DC. The contractor shall be a qualified professional with skills to support program and project management tasks. This position is essential to the administration and management of work performed in support of this contract.

Job Requirements

Responsibilities:

a. Provide overall management, control, coordination, and execution of assigned projects under this contract.

b. Work with the Government Lead to establish day-to-day priorities as well as long-term objectives.

c. Serve as the executive assistant assisting the Project Management technical expert and assist Government Project Leads with developing new programs, projects, and initiatives as well as assist with managing and reporting on current projects.

d. Manage calendar appointments, coordinate internal and external meetings, prepare agendas, take notes, and track follow-up action items for Management.

e. Review the monthly status report with the Government Lead and Contracting Officer’s Representative (COR).

f. Recommend solutions for specific problems that arise through written reports and/or oral presentations.

g. Work with the Program Managers (PMs) to establish key milestones and performance metrics and identify the critical project dependencies that could cause disruption.

h. Support the development of processes, procedures, documentation, and tools necessary to manage daily and reoccurring activities.

i. Assist Project Leads with developing Program Management Reviews (PMRs) slide deck and facilitate Progress Reviews.

j. Assist Management with establishing short- and long-term goals and objectives.

k. Review current business processes, both documented and undocumented, and provide a written analysis on methods to improve internal and external communications, business processes, and day-to-day operations.

l. Work with Branch Chiefs and Project Leads to identify opportunities to improve and document effective and efficient processes and procedures aimed at increasing productivity and communications.

m. Review current processes and provide recommended courses of action to improve communication and business practices.

n. Develop and document processes, procedures, and tools to assist with meeting goals and objectives.

o. Review business partner’s operations and provide recommendations on how the Division can better align its business practices to meet the Program Management Office (PMO) requirements.

p. Assist with change management, process improvements, and process development.

q. Develop Standard Operation Procedures (SOPs).

r. Provide technical writing reviews. Work with the Government Lead and the PMs to draft, review, edit and file technical documents, PowerPoint presentations and other written material, as needed.

s. Receive, review and edit written materials, verify information and request clarification, as needed.

t. Use the CBP Style Guide to ensure submissions are in the proper format. Provide technical writing support to ensure written correspondence is clear, concise, and properly formatted.

u. Assist with assigning and managing Knowledge Management System (KMS) access and permissions and provide updates to the KMS homepage, as necessary.

v. Use SharePoint/Knowledge Management System (KMS) to track, archive, and maintain open documents.
