Job Title : Administrative Assistant Intern
Department : Administration
Reports To : Practice Administrator
FLSA Status : Non-Exempt (hourly)
Work Schedule: Variable during business hours; Monday-Friday, 8:00 A.M. - 5:00 P.M.
Summary : As an Administrative Assistant Intern at our private practice orthopedic office, you will play a vital role in supporting our team in delivering exceptional patient care. This internship offers hands-on experience in various administrative tasks within a healthcare setting, providing valuable insight into the operations of an orthopedic practice.
This position requires compliance with OrthoEast’s compliance standards, including its Code of Conduct, Compliance Program, and policies and procedures. Such compliance will be an element required as part of the job duties, and considered during performance evaluations.
Essential Duties and Responsibilities:
• In collaboration with Leadership Team, support the review, audit, improvement, and problem-solving tasks for the following job duties:
**Front Desk Operations:** Greet patients, answer phone calls, and manage appointment scheduling using electronic medical records (EMR) system.
**Patient Registration:** Pre-Registering new patients, collecting insurance information, and verifying patient demographics.
**Record Maintenance:** Organize and maintain patient records, ensuring accuracy and confidentiality.
**Billing Team:** Processing insurance claims, verifying insurance coverage, and following up on outstanding payments.
**Clinical Assisting:** Prepare examination rooms, assist physicians with patient intake, and provide support during procedures as needed.
**Inventory Coordination:** Inventory management, ordering office supplies, and maintaining cleanliness and organization in common areas.
**Patient Communication:** Communicate with patients regarding appointment reminders, follow-up care instructions, and handling inquiries in a professional and courteous manner.
Although you will not be required to fill any of these roles, there are times when administrative team has to jump in to help solve problems and/or find efficiencies. As part of the administrative team, a high-level understanding and basic competency in these roles is expected.

Education and/or Experience:
• Currently enrolled in a degree program in healthcare administration, business administration, or related field preferred.
• Excellent verbal and written communication skills, with strong attention to detail.
• Ability to prioritize tasks, manage time efficiently, and maintain accuracy in a fast-paced environment.
• Friendly demeanor, with a customer-centric approach to patient care.
• Proficient in Microsoft Office Suite and comfortable learning new software systems.
• Maintain confidentiality, adhere to ethical standards, and represent the practice with integrity.
• Willingness to collaborate with team members and contribute to a positive work environment.
• Passion for healthcare administration/management and a desire to gain practical experience in a clinical setting.
