Job Title : Physical Therapy Department Manager

Reports To : Practice Administrator

FLSA Status : Exempt (salary)

Work Schedule: Monday-Friday, Generally 8:00 A.M. - 5:00 P.M.

Summary : We are seeking an experienced and dynamic Physical Therapy Department Manager to lead the clinical operations of our orthopedic practice. As the Department Manager, you will be responsible for overseeing a team of Physical Therapists (PTs), Occupational Therapist (OT), and Physical Therapy Assistants (PTAs). Your leadership will be instrumental in ensuring the delivery of high-quality patient care, optimizing operational efficiency, and fostering a collaborative work environment within the therapy department.

This position requires compliance with OrthoEast’s compliance standards, including its Code of Conduct, Compliance Program, and policies and procedures. Such compliance will be an element required as part of the job duties, and considered during performance evaluations.

Essential Duties and Responsibilities:

**Leadership and Team Management:**

- Provide leadership, guidance, and mentorship to the PTs, OT, and PTAs, promoting a culture of excellence, professionalism, and teamwork.

- Conduct regular team meetings to communicate departmental goals, review performance metrics, and address any challenges or opportunities for improvement.

- Foster a supportive and inclusive work environment that encourages professional growth, collaboration, and open communication among staff members.

- Manage time off, scheduling control and efficiencies, and other HR related tasks.

**Clinical Operations Oversight:**

- Manage the day-to-day operations of the physical therapy department, including patient scheduling, treatment planning, and resource allocation to optimize patient care delivery.

- Ensure compliance with clinical protocols, evidence-based practices, and regulatory standards governing physical and occupational therapy services.

- Monitor clinical outcomes, patient satisfaction, and productivity metrics to identify areas for performance improvement and implement corrective actions as needed.

- Manage all outside referrals, including but not limited to approving/denying and scheduling.

**Staff Development and Training:**

- Oversee the recruitment, hiring, onboarding, and training of clinical staff, ensuring that all team members possess the necessary skills, competencies, and credentials to perform their roles effectively.

- Conduct regular performance evaluations, provide constructive feedback, and support professional development initiatives to enhance staff competencies and job satisfaction.

- Facilitate continuing education opportunities, mentorship programs, and participation in professional conferences to promote clinical excellence and career advancement.

**Quality Assurance and Compliance:**

- Implement quality assurance initiatives, clinical audits, and outcome measurement tools to monitor the effectiveness and safety of patient care delivery.

- Ensure compliance with relevant healthcare regulations, accreditation standards, and documentation requirements, maintaining accurate and up-to-date patient records.

- Collaborate with interdisciplinary teams, regulatory agencies, and third-party payers to address compliance issues, resolve audits, and mitigate risks related to billing, coding, and reimbursement.

**Interdisciplinary Collaboration:**

- Foster collaborative relationships with physicians, surgeons, nurses, and other healthcare providers to coordinate patient care, facilitate interdisciplinary consultations, and optimize treatment outcomes.

- Participate in multidisciplinary team meetings, case conferences, and care planning sessions to ensure continuity of care and holistic treatment approaches for patients with complex orthopedic conditions.

- Serve as a liaison between the physical therapy department and external stakeholders, including referral sources, insurers, community organizations, and rehabilitation facilities.

Education and/or Experience:

  • Bachelor's or Master's degree in Physical Therapy or Occupational Therapy (required)
  • Current state licensure as a Physical Therapist (PT) or Occupational Therapist (OT)
  • Minimum of 5 years of clinical experience in orthopedic rehabilitation, with previous leadership or management experience preferred
  • Strong interpersonal, communication, and conflict resolution skills
  • Proficiency in electronic health record (EHR) systems and healthcare management software
  • Knowledge of healthcare regulations, accreditation standards, and quality assurance principles
  • Ability to prioritize tasks, delegate responsibilities, and adapt to changing priorities in a fast-paced environment
