The Executive Assistant will handle both administrative and team support for their Executive(s). You will help manage schedules and book travel, as well as ad hoc projects to support the business. This role will rely heavily on receiving and processing information of confidential nature and ensure that such information is strictly kept confidential.
RESPONSIBILITIES
Calendar
• Support the Executive(s) day-to-day in their professional calendar strategy and management.
• Ensure Executive(s) are on time to events and flex the calendar as needed.
• Accurately arrange complex, detailed and frequently changing meetings, team events and travel plans.
Prioritization
• Drive scheduling decisions, often jumping-in out of hours to assist in logistical support.
• Execute a variety of professional projects speedily with a keen eye for detail.
Administrative
• Filing expense reports, editing presentations and ensuring all documents are readily available in a timely manner.
• Project manage communication flow internally and externally.
• Work on multiple projects and priorities at once. Project manage executives tasks to ensure follow-up to action items.
• Collaborate with the executive assistant team to help with company-wide initiatives (Company Kickoff, Board Meetings, All Hands, Off-sites etc.).
REQUIREMENTS AND PREFERRED EXPERIENCE
• Bachelor’s Degree or equivalent work experience
• 3-5 years of administrative experience ideally working within software companies required (requires experience supporting Executives)
• Extreme attention to detail, organized, and track-record of multi-tasking in a deadline driven atmosphere
• Strong decision-making abilities and a strategic partner to executives.
• Energetic, proactive, and capable of turning around tasks quickly and efficiently under pressure
• Technically savvy: Google Apps, calendaring skills, and ability to learn new concepts quickly
• High EQ with the willingness to learn, and orientation to exceed objectives and take on more responsibility as needed
• Ability to prioritize, multi-task, and adapt to the constantly changing needs of dynamic executives
